Job Description:
Pipeline is looking for a professional Operations Manager to coordinate and oversee our organization’s operations. This position requires a diverse range of abilities and expertise. You must have the basic abilities to coordinate day-to-day business operations and oversee staff. You should be ready to mentor team members, find ways to increase the quality of customer service and implement best practices across all levels of Pipeline’s operations. Your organizational skills include procuring material and resources and securing compliance with agency regulations. We will trust you to help us remain compliant, efficient, and profitable during business.
Responsibilities include, but are not limited to:
- Participates in the recruiting, hiring, and training of staff.
- Organizes and oversees the work and schedules of staff.
- Participate in creating surveys and other metrics that evaluate the effectiveness of Pipelines operations.
- Conducts performance evaluations that are timely and constructive.
- Assists in trainings and scheduling staff, volunteers, and mentors for special programming needs and provide widespread support.
- Ensures all operations are carried on in an appropriate, cost-effective way.
- Participates in coordinating and integrating agency operations, technology, social media, and client service efforts that support website development.
- Manages and maintains the clerical, clinical and billing filing systems.
- Assists in identifying and ordering supplies.
- Participates in staff meetings.
- Assists in planning and forecasting budgets.
- Communicates and explains new directives and policies or procedures to staff.
- Answering phone calls and emails from clients, scheduling appointments, and responding to questions about procedures.
- Projects and promotes a positive image of the organization to employees, contractors, clients, the BH Industry, stakeholders and the community Pipeline serves.
Required Skills/Abilities:
- Thorough understanding of practices and policies involved in business and finance.
- Superior verbal and written communication and interpersonal skills.
- Superior Managerial and diplomacy skills.
- Proficient in Microsoft Office Suite or related software.
- Excellent organizational skills and attention to detail.
- Excellent analytical, decision-making, and problem-solving skills.
Education and Experience:
- Bachelor’s degree in business administration, required.
- Minimum of 3 years’ experience in a relevant field.
- One year of managerial experience, preferred.
Physical Requirements:
- Prolonged periods sitting at a desk and working on a computer.
- Must be able to lift 15 pounds at times.
