DESCRIPTION
The Public Schools of Brookline, MA (PSB) is seeking a dynamic individual for the position of Operations Services Coordinator.This role collaborates closely with School and Town Departments in ensuring safe and efficient school facilityoperationsandtransportationservices,andallotherrelatedworkasrequired.
Essential Duties and Responsibilities
Facilites
- Work with the Town Building Department, HVAC Department, and vendors for proper daily maintenance,
- improvements, repairs, and renovations to existing school buildings.
- Coordinate and schedule the upkeep, repair, maintenance of school buildings, ensuring a safe environment for all
- users.
- Conduct regular inspections of buildings to maintain high standards of safety and functionality.
- Supervise the preventative maintenance program, updating the work order system for equipment, materials, and
- services, overseeing the distribution and timely completion of work orders.
- Monitor compliance with local, state, and federal regulations, including fire, building, ADA codes.
- Supervise the planning and execution of minor construction and renovation projects through completion and
- close out, including attending meetings, and communicating with internal and external stakeholders.
- Ensure projects are completed on time, within budget, and to the highest quality standards.
- Assist with developing and implementing long-term capital improvement plans and establish priorities for
- operations (moving, furniture and equipment ordering, etc.), maintenance, and other projects.
- Support the Director with leases and service contracts in accordance with the school needs and operating budget.
- Assist with monitoring and tracking project schedules, asset inventories, Department budgets and annual
- expenditures; running reports; performing financial analysis, spending trends; preparing purchase orders; and
- researching cost savings options.
- Provide quality assurance, respond to questions, requests, customer service concerns, and complaints, and refer
- any unresolved issues to the Director.
- Communicate effectively and regularly with the Director of Operations to keep them aware of all ongoing
- operations, situations and events.
- Participate on various School and/or Town committees, representing the Director.
Transportation
- Serves as a District liaison to bus vendors.
- Work with the Principals, school staff, Special Education Department, Homeless, and BEEP staff, on route
- development, stop creation, stop changes and arrival drop off and dismissal pick up.
- Work closely with the Town’s Transportation Department and Brookline Police Department on the safety of all
- new bus stops and securing any signage needed or recommended.
- Ensures service providers are providing services in a safe, timely manner and that all vehicle safety inspections
- are submitted
- Verifies that all driver background checks are completed and drivers are current with the appropriate
- endorsement to transport school children.
- Utilizes routing software and GPS to plan bus and van routes.
- Project cost calculations to build budget and cost estimates for services.
- Collects data and creates backup documentation support cost estimates for budget building and timely collection
- and sign-off of monthly or biweekly vendor invoices.
- Uses the PSB’s student database system to determine ridership; updates system to reflect actual ridership.
- Rides AM and PM routes as needed during the school year.
- Collaborates with Principals and other District personnel on safety concerns, student discipline, etc.
- Attends professional associations/affinity group meetings and workshops.
- Education and Experience:
- Associate’s Degree required. Bachelor’s degree preferred.
- Three to five years of related experience of facilities management, project management and planning, building
- and office operations, and logistics experience, preferably in a supervisory capacity. An advanced degree will be
- considered in lieu of equivalent years of experience.
- Municipal experience preferred or an equivalent combination of education and experience.
- Massachusetts Certified Public Purchasing Official (MCPPO) certification preferred.
- Experience with routing software preferred.
- Knowledge, Ability and Skill:
- General knowledge of building maintenance processes, construction principles, procurement policies, and
- building systems.
- Demonstrated skill in project management and use of technology to identify and analyze key performance
- metrics.
- Ability to read and interpret construction drawings, plans, and specifications.
- Strong problem-solving, leadership, and organizational skills.
- Ability to resolve conflicts and maintain harmonious working relationships throughout the organization and with
- other agencies and departments.
- Excellent communication skills, both oral and written.
- Maintain effective communication with staff, building occupants, committees, management, other Departments
- including Heating, Ventilation and Air-Conditioning (HVAC), vendors, and the public.
- Must be, or become knowledgeable about state and federal student transportation laws and regulations.
- Proficiency in computer applications, including Google docs, word processing, and spreadsheets.
- Strong budget planning and management skills.
- Ability to manage multiple tasks and prioritize effectively. Strong initiative and follow-through.
- Possession of a Massachusetts Class D valid motor vehicle operator’s license.
Compensation and Benefits:
- Competitive salary range of $80,000 to $92,500. Salary based on qualifications and experience.
