PRIMARY PURPOSE
Under the direction of the supervisor of payroll, the payroll assistant supports functions of the payroll office. The incumbent of this position provides assistance and support to the payroll staff and building patrons including teachers, administrators and classified support staff. The incumbent is responsible for promoting positive public relations for the Organizational Effectiveness community, and for making appropriate decisions and accepting responsibilities in the absence or unavailability of payroll staff.
ESSENTIAL JOB DUTIES

E = ESSENTIAL FUNCTIONS
Retrieve information from the payroll database for the purpose of processing employee verification of employment requests. (E)
Enter, update and track direct deposits, W4s and fingerprint authorizations. (E)
Assist in preparation of time sheets for entry into system. (E)
Receive, sort and distribute incoming mail. (E)
Create new hire payroll folders, file and copy documents. (E)
Maintain a variety of payroll information, files and records ensuring the availability of documentation and compliance with established policies and guidelines. (E)
Audits payroll information to ensure compliance with bargaining agreements, payroll related laws, and district payroll practices as well as to ensure accurate payroll. (E)
Support other payroll staff in screening calls and relaying messages. (E)
Greet and direct visitors at front desk. (E)
Provide requested information to staff and other patrons through face-to-face conversations, telephone conversations, and emails. (E)
Assist in retention of payroll records. (E)
Provide back-up support to payroll team as needed.
Other duties as assigned.
REQUIRED QUALIFICATIONS:
Education and Experience
- High school diploma/GED or equivalent educational experience.
Licensing and Certification
PREFERRED QUALIFICATIONS:
- Additional related or specialized training desirable.
Employment eligibility that may include fingerprints, health (TB), and/or other employment clearance.
Must have valid driver’s license and automobile available for use. Must be willing to attend evening and weekend meetings.

REQUIRED KNOWLEDGE AND ABILITIES
Must demonstrate a successful level of the knowledge, skills and abilities listed below:
- Ability to maintain strict confidentiality.
- Knowledge of information system database or other computer application of comparable complexity.
- Ability to produce accurate written documents.
- Ability to operate and trouble-shoot office equipment and machinery including personal computers, copiers, printers, scanners, facsimile machines, microfiche, and telephone equipment.
- Ability to operate computer including advanced applications using word processing, spreadsheet, database, and specialized software.
- Ability to maintain timely, accurate, and efficient record keeping, including preparation of reports from office records and produce accurate work products.
- Ability to learn new operations, procedures, processes, and use of new equipment.
- Ability to organize, coordinate multiple activities, set priorities, and work effectively under pressure, while complying with established timelines for each assigned activity.

WORKING CONDITIONS:
Working relationships:
Reports to the Supervisor of Payroll. Interacts regularly with departmental staff, administrators, support staff, and other district employees. Interactions with individuals outside of the district include frequent contact with loan officers, mortgage brokers, and attorney offices.
Physical demands:
- Bending at the waist, kneeling or crouching, and reaching to retrieve and maintain files and records.
- Reaching overhead, above the shoulders and horizontally.
- Dexterity of hands and fingers to operate standard office equipment, computer keyboard, and other equipment necessary to complete the required duties.
- Hearing and speaking to exchange information in person and on the telephone.
- Visual ability to read, and to prepare/process documents and to monitor various services and personnel.
- Sitting for extended periods.
- Standing for extended periods.
- Walking over rough or uneven surfaces.
- Climbing, occasional use of stepladders.
- Physical activity may be required, which could include moderate lifting.
