Responsible for performing administrative and legal tasks to support in-house counsel in addressing internal clients’ needs related to operations and litigation. Thoroughly organize, maintain, and update accurate databases for internal or external reporting.
Paralegal and legal assistant duties are required.
- Intake of various communications related to legal claims or operational matters. Receive notices of litigation, administrative actions, third-party subpoenas, etc., as well as requests from internal clients, and appropriately respond to each.
- Issue and monitor legal holds in coordination with in-house and outside counsel.
- Create, organize, and maintain case files. Monitor status of litigation.
- Organize and maintain documents in electronic databases and filing systems.
- Assist in fact investigations, collect records and other information. Review, analyze, and summarize findings.
- Facilitate and collect responses to discovery. Coordinate and schedule depositions.
- Assist in all phases of litigation.
- Assist in all phases of agency actions, including mediations.
- Assist with union contract administration, grievances and labor arbitrations as needed.
- Assist with note taking and proposal drafting in collective bargaining negotiations as needed.
- Calendar and monitor key case deadlines and in coordination with in-house and outside counsel.
- Assist in finalizing and implementing case settlements and related payments.
- Draft, review, and summarize legal documents and correspondence.
- Conduct legal research.
- Data entry & reporting.
- Resolve billing and payment issues.
- Communicate with internal clients, external partners, administrative bodies, courts, and others. Create and sign correspondence that doesn’t contain legal advice or independent legal opinions.
- Provide general administrative support, such as maintaining calendars, scheduling meetings, and court dates, arranging travel, reporting expenses, monitoring deadlines, and obtaining information from internal and external sources.
Qualifications
- Associate's degree or equivalent relevant work experience.
- Five (5) years of experience in the same or similar position required.
- Five (5) years of experience in personal injury law, preferred.
- Must be highly organized and detail oriented.
- Must have excellent communication skills.
- Must have prior experience coordinating discovery responses in a law firm or business legal department setting.
- Must be able to conduct legal research on Westlaw or LexisNexis.
- Must possess strong time management skills.
Must be able to obtain/maintain any necessary licenses and/or certifications.
