Job Description:
The Payroll Supervisor supervises the payroll team and ensures all employees are paid accurately, on-time, and in compliance with government regulations for our multi-state organization. They are a subject matter expert for all things related to payroll. With the Payroll & HRIS Manager, the Payroll Supervisor works to create a vision for the payroll team and implement strategies that support the goals for Human Resources and the company. Provides effective leadership, mentoring, and guidance to team members to accomplish functional responsibilities. Additionally, this position is focused on identifying opportunities for payroll process improvements. Reports to the Payroll Manager.
Compensation: $85,000 - $105,000 salary, DOE
Essential Functions & Responsibilities:
- Oversees the daily payroll workflow.
- Ensures timely and accurate processing of payroll transactions including salaries, benefits, garnishments, taxes, and other deductions.
- Ensures compliance with federal, state, and local payroll, wage, and hour laws and best practices.
- Process payroll for employees located in multiple states, ensuring adherence to different state-specific requirements.
- Coordinate timekeeping and payroll systems.
- Works with HR to ensure accurate and timely processing of payroll updates including new hires, terminations, and changes to pay rates.
- Collaborate with HR and Finance departments to ensure accurate and efficient data transfer and reporting.
- Works with the HRIS Manager on all implementations and of payroll systems and software, ensuring ease of use for management and employees.
- Develop and implement payroll policies and procedures to streamline processes and improve efficiency.
- Resolve any payroll-related issues or discrepancies in a timely manner.
- Generate regular payroll reports and provide analysis to management as needed.
- Stay updated on changes in payroll regulations and best practices and implement necessary updates and modifications to payroll processes.
- Ensures GL accuracy and understands how payroll impacts the P&L and explains changes to management.
- Reconcile PTO liability with accounting system.
- Train new payroll employees.
- Provide support to our branches and all levels of the organization.
Qualifications:
- Extensive working knowledge of the payroll function including preparation, balancing, internal control, and payroll taxes.
- Current knowledge in the preparation and filing of payroll tax and other requisite forms.
- Deep understanding of federal, state, and local payroll laws and regulations.
- Excellent organizational skills, accuracy and attention to detail.
- Strong analytical and problem-solving skills.
- Strong supervisory and leadership skills.
- Experience with payroll systems (UKG experience preferred).
- Proficient in using payroll software and MS Office applications, with advanced Excel skills.
- Outstanding communication skills (written and oral).
- Liaise with auditors and manage payroll tax and union audits.
Education & Experience:
- Bachelor’s Degree in Accounting, Finance, Human Resources or equivalent work experience.
- Minimum of 2 years of experience managing, coaching and developing a payroll team.
- 5+ years’ progressively responsible payroll experience with hands-on processing payroll, preferably in a multi-state environment.
- Prior experience with UKG (UltiPro or Kronos) preferred.
- Certified Payroll Professional (CPP) certification required.
