About the Job
A Practice Manager/Administrator is a healthcare professional who plays a role in the day-to-day operational/administrative duties of the practice as well as assists the practice managers to ensure the office runs smoothly. The Practice Manager/Administrator closely works with the administrators, and the clinical and non-clinical staff to support the practice and strive for excellent customer service. To ensure that their office runs smoothly. Assist the care team with helping coordinate patient care by ensuring that all relevant parties are in communication about treatment plans, scheduling appointments, etc.
Primary Responsibilities:
- Performs the full scope of administrative support duties in an outpatient practice, including, but not limited to;
- Ensure the site is clean, organized and clutter/outdated information is removed from the site
- Assign takes and delegate assignments as needed to ensure the efficiency and effectiveness of staff
- Validates and ensures all surgical paperwork is completed timely.
- Maintain an absentee calendar to monitor time and leave of staff members; including lateness and unscheduled absences
- Escalate request for overtime to Practice Manager/Director for approval along with justification
- Order office and medical supplies as well as keep trach of expenses for the site
- Provides administrative support to the care team by ensuring adequate staffing for the practice is available to meet operational needs
- Conduct environment of care rounds and enter into Huron rounding portal for tracking regulatory compliance
- Participate in meetings and committees to improve patient and staff engagement
- Delegating tasks to appropriate team members while managing deadlines and progress across the team to ensure the projects are completed timely
- Encourage a positive workplace environment for staff and patients
- Serve as the champion for Human Resource regulatory compliance
- Ensure all mandatory trainings and annual assessments are completed timely
- Track staff licensures and certifications are up-to-date
- Provide supervision and guidance to staff and utilize that information with completing elevations and competencies
- Monitors and tracks revenue cycle management to reduce denials and errors preventing timely submission of claims
- Obtain authorizations for imaging, medications, procedures and referrals as needed.
- Assist with copays collection and reconciliation of deposits
- Review staff baskets to ensure all tasks are reviewed and completed daily.
- Ensures all authorizations are completed for any procedure being done by the provider
- Validates and ensure all surgical paperwork is accurate and scheduled in a timely manner
- Assist the front desk with booking appointments as needed as well as assist medical assistants with rooming patients.
- Be the point of contact for surgical scheduling and pre-surgical screening to accurately schedule surgical cases.
- Ensure all no-shows are scheduled and pre-registrations are completed in advance of the patient’s appointments
- Batch out Copayments on a weekly basis to ensure all monies are equal.
- Be a champion for quality incentives and initiative programs
- Developing and maintaining relationships with patients, physicians, and other team members to ensure smooth workflow in practice
- Ensure all lab results are reviewed by the physician in a timely manner.
- Prepares monthly office schedules, review and approve time off request.
Requirements:
- Excellent communication skills and customer service.
- One year of experience in a medical office, preferably ambulatory care; at least 3 years in supervisory position
- Experience using electronic medical record system a plus.
- Experience in surgical practice a plus.
- HS Diploma or GED required.
- Associate required
- Bachelor Degree preferred
- Microsoft Office experience required.
- Experience with EMR; Athena, Meditech, EPIC etc.preferred.
Salary Range: $58,000 - $62,000
