Position Summary:
The Production Assistant - Office will provide administrative support to the production team. This includes facilitating information between the event teams and production managers and being the initial contact for all event production staff. Additionally, this role will support areas including office organization and maintenance, payroll, onboarding and offboarding employees, and supplying reports as required.
Essential Functions:
- Responsible for general administrative support activities including managing calendars and schedules, maintaining records, restocking and maintaining supplies and equipment, working with local government stakeholders for applicable permits.
- Facilitate hiring and onboarding processes for event staff, liaise with employees and support them through the onboarding process. Facilitate offboarding process, liaise with employees and support them through the offboarding process.
- Responsible for both the Payroll and Timekeeping systems and applicable maintenance. Troubleshoot timekeeping software, assist with payroll issues, and work with Human Resources regarding onboarding and offboarding event staff, as required. Maintain both internal departmental employee database to ensure accuracy within the timekeeping and payroll functions.
- Main point of contact for the Production department within the AEG Presents office. Assist with all inquiries and escalate appropriately.
- Assist Production Managers with their organizing expenses and submit expense reports timely and accurately.
- Assist Production Managers with completing and submitting Employee incident reports timely and accurately. Follow up with key stakeholders as required and provide updates on ongoing cases.
Required Qualifications:
- A minimum education level of: High school diploma or equivalent (Bachelor of Arts/Sciences Degree Preferred)
- Years of related work experience: 0-2
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint and Outlook)
- Ability to communicate effectively to all levels of the business organization
- Effective written, verbal and listening communication skills
- Ability to prioritize tasks, maintain organization
- Ability to build and cultivate relationships
- Must be able to work office hours or events as required (including nights, weekends and some holidays)
Pay Scale:
- $24.00 - $30.37 p/h
Bonus
- This position is not eligible for a bonus under the current bonus plan requirements.
