About the Job
Intertek is looking for a dynamic, full-time Project Administrative Assistant to join our Technical Inspection Services (TIS)team based in our The Woodlands, TX office. This is a hybrid role.
The Project Administrative Assistant is responsible for assisting the Technical Inspection Services business line by providing administrative support to the Project Coordination team with project ramp up, scheduling, maintenance, and completion initiatives.
What you'll do:
- Provide a wide range of administrative services to support a major project team
- Must be able to work effectively in a fast-paced, complex, and demanding environment while upholding the company's standards and values
- Must exhibit discretion when dealing with confidential matters for executives and consistently maintain a professional, approachable demeanor
- Provide administrative support to project team
- Reconcile expenses / receipts for payroll & invoicing
- Maintain various logs, trackers, reports, schedules, templates, etc.
- Maintain a working knowledge of standard software/technology
- Microsoft Office
- Outlook (shared email box)
- MS Teams
- SharePoint
- SmartSheets (preferred)
- Document Management Systems (various systems currently being utilized)
- Assist with planning and scheduling of activities
- Sourcing and scheduling local/qualified inspectors to perform inspections as needed
- Pre-Review of inspection reports, timesheets, & supporting documentation prior to client submittal
- Ensuring reference data is correct
- Ensure data presentation is consistent
- Cosmetic clean-up of reports
- Etc.
- Perform work safely and effectively
- Understand and follow oral and written instructions
- Work during normal operating hours to organize and complete work within given deadlines
What it takes to be successful in this role:
- Preferred proficiency with Microsoft Office & SmartSheets experience
- Data Entry experience preferred
- Excellent communication skills (verbal and written)
- Experience and ability to navigate and adapt to various online platforms
- Deadline-driven with a sense of urgency
- Able to take direction and provide timely feedback on progress of tasks
- Exceptional attention to detail, organized, ability to recognize discrepancies, and active listening skills
- Strong emotional intelligence and interpersonal skills
- Excellent organizational and time management skills
- Ability to multi-task and prioritize
- Ability and willingness to be proactive and problem solve as necessary
- Ability to work independently, as well as part of a team
