Are you an experienced Project Administrator in the construction industry eager to thrive in a respected and dynamic organization? Do you have a passion for supporting the building of high-end custom homes? Louis Ptak Construction seeks a Project Administrator for our finance team. You will work closely with the GC and Subcontracting division heads and project managers to optimize our projects and create the best customer experience.
What you get to own:
- Project Management
- Set up and maintain project folders and documents/correspondence logs utilizing project templates, prepare project-specific electronic folders, Daily Work Report Template, Project Work Package.
- Interface with Superintendents, Foremen and Project Managers
- Collaborate with project teams to address client inquiries
- Process Client Change Orders, ensuring field personnel are notified of added phase codes
- Oversee project commitments, ensuring accuracy and alignment with project budgets
- Manage the processing of lien releases and waivers
- Prepare project closeout documents, including operations manuals
- Contracts/Subcontract Management
- Work with Project Managers to review contracts and project budgets
- Process and manage Subcontractor Change Orders
- Review subcontractor/vendor monthly payment applications for completeness and accuracy.
- Enter subcontractor/vendor invoices into Procore for APM/PM approval
- Ensure subcontractor/supplier compliance with subcontract agreements and company policies, including licensing, insurance, W9s
- Client Billing
- Generate accurate and timely monthly client billings
- Review time and expense coding, project cost tracking, and prepare production tracking reports
- Credit card processing support, including Field Management CC processing, receiving/storing/verifying safety tailgates signoffs, Hilti OnTrack administration
- Accounting/Team Support
- Provide coordination help and back up to other PA's on the team
- Aid with onboarding of new employees with I9s, Tool Purchase Program, Safety & Workers Compensation coordination
- Novato Office Management
- Vendor and supply management for the office, including building security, liaison with building owner/HOA, office supplies, janitorial, IT desktop setup
What we're looking for:
- 3+ years in the construction industry in project accounting
- 1+ years of Sage Intacct, Procore, or similar construction software experience
- Advanced usage of all Microsoft Office suite software
- Knowledge of construction terminology, accounting means and methods
- Excellent written and verbal communication with internal and external stakeholders, team-building skills, and a strong attention to detail.
- Vendor contract, purchase order, and invoice processing
- This role is open to be located in either of our office locations - Monterey or Novato, CA
- WFH option 1 day per week
