POSITION SUMMARY:
Provides general administrative and project support to department under the direction of the Sr. Director of Facilities and Planning. Performs a variety of tasks specifically aimed toward the organizational mission which include but not limited to general administrative support, project coordination, report generation, initiates PO and assists with Capital Project funding administration, processes payments, confirms project budgets. Work on tight deadlines and competent in using Microsoft Office applications such as Word and Excel, and have exceptional verbal, written, and presentation skills.
ESSENTIAL FUNCTIONS:
- Handles general administrative responsibilities. Responds timely to inquiries, email, calendar requests and activities related to departmental operations.
- Schedules meetings, interviews, conferences and activities as needed by Operational leaders. Facilitates meetings where appropriate and distributes minutes to all project team members.
- Maintains administrative calendars for appropriate Operational leaders.
- Assists in documenting project phases and creating project summary reports.
- Compiles and distributes reports and documents requiring an understanding of departmental processes. Handles highly confidential information at a high level.
- Monitors project plans, schedules, work hours, budgets, and expenditures, organizing and participating in stakeholder meetings, and ensuring that project deadlines are met in a timely manner. Coordinates follow-up activities.
- Works with field personnel to handle project issues as they arise.
- If applicable will provide monthly and weekly audits and assists in project reports on Microsoft Project, Excel, Powerpoint and other organizational resources.
- Coordinates project operations with Consultants and Contractors
- Assists with implementing processes and procedures to make operations more efficient and effective.
- Coordinates and orders furnishings throughout MEE.
- Coordinates and orders Signage throughout MEE.
- Provides leadership and ownership to the projects.
- May be asked to cover various roles within the department on short term basis.
- All other duties as assigned.
EDUCATION AND EXPERIENCE:
Associates or Bachelor’s degree and/or equivalent combination of education and experience. Minimum 2 to 3 years of experience operating in an administrative capacity and/or work involving administrative project coordination. Strong organizational skills a must. Proficient working knowledge of Microsoft Office applications required. Excellent communication skills (verbal/written), ability to work with a team and independently. Healthcare background preferred.
