Great opportunity to join a dynamic team with a growing contractor serving multiple branches of the government. Your expert MS Office proficiency and exceptional organization skills will ensure your success as you assist with preparation of proposals, track and manage contract data and deliverables and produce monthly invoices. Interact and coordinate with all levels of stakeholders, including Program Directors, corporate staff, field employees, subcontractors, and clients. Tasks include:
Proposal Support: • Prepare and format written and graphic material • Manage proposal production
Contract Administration: Provide pre- and post-award administrative support • Manage subcontractor correspondence • Manage contract files and databases • Track contract compliance and deliverables
Invoicing and Budget Monitoring: Track and monitor project timelines • Monitor project budgets • Develop technical invoice summaries for A/E billing • Produce invoices • Process subcontractor billing • Process expense reports for billing
General Administrative Support: Answer phones • Maintain company calendar and contacts • Set up meetings and take minutes • Manage office supply inventory • Equipment receipt management • Book travel arrangements for field personnel • Manage Project Toolboxes • Track Performance Surveys
Qualifications
- 5+ years contract/project support experience. Government contracting/FAR experience highly preferred. Architecture/Engineering/Construction environment a plus
- 5+ years' experience creating invoices/billing/bookkeeping with excellent math/numerical competency.
- Expert proficiency with MS Excel and Adobe Acrobat Pro with advanced formatting/design/layout experience. Must also be competent with MS Word and Outlook
- Experience with MS365, SharePoint and Salesforce highly desired
- Excellent oral and written communication skills. Highly accurate grammar and proofreading skills
- Great organization and time management skills. Ability to track multiple projects and deadlines and move seamlessly back and forth between them
- Critical/analytical thinking skills to anticipate impact of actions and decisions
- Bachelor's degree in business, communications, marketing a plus
