Position Summary
The Commercial Project Coordinator serves a key role in our projects team. The incumbent is key in gathering equipment, resources, and information for upcoming projects. It is pertinent for the Commercial Project Coordinator to be to communicate and organize the day-to-day operations, schedule, and documents for their projects. This role serves as a liaison between the internal project team and our customers.
Essential Functions
- Work with Project Managers, customers and local market operations on execution of commercial projects, this can include a variety of tasks depending on the job, such as: scheduling flights, arranging equipment rental for lifts, drills, storage containers, etc., and working with customer to schedule access for sites with multiple units needing mitigation work completed.
- Work with Project Managers to build materials and inventory list for the project then relay to Inventory Coordinator for fulfillment and shipping.
- Coordinate with local market operation Project Managers to help them with construction and service projects not handled by the Louisville-based commercial technicians.
- Effectively manage incoming inquiries; identify and access customer's needs to company's standards.?
- Drafts proposals and any other paperwork and sending it to the appropriate individuals?.
- Liaise between estimators and customers to schedule jobs correctly.
- Proofread job contracts written by estimators?.
- Review permits for subcontractors.
- Schedule appointments, process orders, and prepare monthly reports.?
- Keep records of customer interactions, process customer accounts, file documents, and enter data into company's CRM.?
- Build sustainable relationships and trust with customers through open and interactive communication?.
- Other duties as assigned.
Required Skills/Abilities:
- Proficient in Microsoft Office Suite and Adobe Acrobat
- Ability to coordinate and communicate efficiently with multiple moving parts and various levels of management and team members.
- Excellent verbal and written communication skills.
- Excellent interpersonal and customer service skills.
- Excellent organizational skills and attention to detail.
- Excellent time management skills with a proven ability to meet deadlines.
Physical Demands and Work Environment
- This job operates primarily in an office environment and routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, etc.
- Prolonged periods of sitting at a desk and working on a computer.
- Must be able to regularly lift 25 pounds.
Education and Experience
- Associate degree preferred.
- At least one year of experience in customer service, scheduling, project coordination, etc.
- Experience providing administrative and operational support to management.
