We are seeking a highly organized Property Management Assistant to assist with the day to day functions of the Boston Children’s Hospital Real Estate Portfolio. The role will contribute to effective operations of the real estate department and support the Sr. Director and Sr. Asset Manager with scheduling, correspondence, due diligence, documentation, data requests, and follow up with contractors and vendors.

- Schedule appointments and meetings and maintain calendars for supervisors; Reserves meeting locations, orders supplies and equipment and prepares agenda; Assist in organizing and scheduling conferences, seminars and other programs or events.
- Prepare correspondence, contracts and other written vehicles as requested; Receives, screens and drafts responses to correspondence.
- Oversee contractual agreements and leasing administration files, including current insurance certificates and retail sales reporting, key action dates, options, and notices.
- File and maintain all department documentation including but not limited to correspondence, contracts, invoices, purchase orders, and lease files.
- Maintain departmental files, records and databases; Enter information from source documents into databases and/or spreadsheets, compiling, printing and distributing reports, mailing labels and other information.
- Process all payments and invoices for the real estate department and perform account reconciliation under the direction of the Sr. Asset Manager and Sr. Director
- Prepare tenant billings according to lease terms for base rent, common area maintenance charges (CAM), real estate taxes, utilities, bill-backs and collections/cash receipts
- Assist in the preparation of annual operating and capital budgets for all properties, tenants, and leased locations.
- Assist in overseeing the daily activities of tenants and vendors to help plan, prioritize and delegate work assignments; Process, enter and track work orders; Manage badge clearance for Associated Personnel in owned and leased spaces
- Enforce policies and procedures and manage landlord and tenant correspondence.
- Serve as a resource on departmental policies and procedures and provide assistance in resolving administrative issues.
- Associate’s degree and at least one year of related experience; BA degree preferred.
- Commercial or retail Real Estate experience is preferred.
- Highly developed organization skills, attention to detail, and the ability to manage multiple priorities in a fast paced environment
- Ability to communicate effectively and persuasively, both verbally and in writing.
- Strong analytical skills and judgment to interpret data and take the appropriate action in circumstances or situations that may vary.
- Proactive approach and initiative to improve operations within department, implementing changes when appropriate
