Job Title: PURCHASE CARD SPECIALIST
Reports To: ASSISTANT SUPERINTENDENT FOR FINANCE & OPERATIONS AND THE DIRECTOR OF BUSINESS SERVICES
General Job Description:
Under general supervision, assigns, monitors and reconciles District Purchasing Cards and transaction activity to approved purchase orders and bank statements.
Essential Duties and Responsibilities:
- Assigns and issues District P-Card for approved travel expenses, based on verification of approved and existing District purchase orders and signed P-Card holder agreement.
- Receives, reviews, retains and reports P-Card, itemized travel receipts, and P-Card transaction activity against District policy and procedure requirements, in accordance with State and Federal regulations and requirements.
- Reconciles approved P-Card activity to bank accounts and statement activity.
- Monitors and reports P-Card activity.
- Generates P-Card activity reports as needed.
- Maintains P-Card transaction activity reports, itemized receipts and P-Card holder agreements for retention and financial audit.
- Assists with Accounts Payable as needed.
- Prepares and delivers P-Card Procedures Training to District Staff.
- Delivers and picks-up materials as needed.
- Knowledge computer systems, word processing programs and databases.
- Personal and professional task management through use of technology.
- Maintains confidentiality over sensitive matters.
- Flexible and able to prioritize tasks while maintaining accurate records.
- Able to work independently with little supervision.
- Reports to work on-time, working not less than 7 hours per day.
- Performs other duties as assigned by supervisor.
- Assists with Payroll as needed.
Supervisory Responsibilities:
None
Experience and Education:
- Bachelor degree in Business, Finance and/or Accounting preferred.
- Minimum of two years’ experience in general bookkeeping, accounting and/or accounts payable.
- Valid driver’s license and vehicle insurance.
Physical Requirements:
Sitting, standing, lifting and carrying (up to 40 pounds), climbing stairs, reaching, squatting, kneeling, having full mobility of fingers/hands, and moving light furniture may be required, unless ADA accommodations have been mutually agreed on and does not create an undue hardship upon the district.
Safety and Health:
Knowledge of universal hygiene precautions (blood borne pathogens, body fluids, etc.)
Equipment/Material Handled:
Must know how to properly operate, or be willing to learn to operate, multi-media equipment including current technology as needed. Page 1 of 2

Work Environment:
Must be able to work within various degrees of noise and temperature. Interruptions of work are routine. Flexibility and patience are required. Must be self-motivated and able to complete job assignments without direct supervision. After hours work may be required. May make site visits when needed. May work under stressful conditions on occasion.
