About the Job
The Receiving Clerk is responsible for unloading and inspecting delivered goods; signing for delivered goods; entering computer receipts; printing appropriate delivery documents; communicating delivery requirements to appropriate person; communicating problem situations to appropriate person; maintaining records and files of received goods; processing returned goods; processing shipping merchandise; identifying, researching and resolving receiving problems; tracking packages internally; and performing other duties as assigned.

Responsibilities:1. Unloads delivery trucks with delivery personnel; assures that receiving dock is secured from unauthorized traffic; testifies to the freight received; documents discrepancies; maintains records.
2. Inspects package contents and records receipts and exceptions on packing slip; reviews bill for accuracy and refuses items with obvious damage; notifies Materials Management Coordinator and/or Purchasing of overstock, shortages or damage; refrigerates merchandise as necessary.
3. Documents stock and non-stock receipts in computer; notifies Purchasing if purchase order is not on file or if there are other discrepancies; processes those identified as “Rush” or “Refrigerated” according to procedure and produces computer generated documents for delivery.
4. Identifies customer and delivery location on non-stock receipts without purchase orders by information on packaging or by contents; separate non-PO packages from PO packages for delivery company to make direct deliveries to customers; processes according to Non-PO receipts procedure for packages that can not be delivered directly; stage unidentified packages in designated location for coordinator’s review if packages are in question.
5. Stage non-stock deliveries in designated locations for delivery; delivers packages as needed; obtains appropriate signatures and adjust computer records accordingly.
6. Documents stock receipts in computer; notifies Materials Management Coordinator and/or Purchasing if purchasing order is not on file or if there are other discrepancies.
7. Prints packing slip and attaches them to all stock packages; stages product for putaway according to stocking locations; puts away stock inventory as needed; rotates inventory during put away; cycle counts inventory as needed and processes return to vendor as identified by Materials Management Coordinator or Central Distribution Manager.
8. Processes priority and rush shipments per department procedure.
9. Communicates delivery requirements to Materials Transporter or Materials Management Coordinator.
10. Maintains records and files including computer-generated reports, information on freight bills, packing slips, shipments and Non-Pos.
11. Processes returns; UPS, FedEx and Airborne shipments daily according to established procedures.
12. Communicates receiving errors to Accounting, Purchasing, Materials Management Coordinator and/or Central Distribution Manager; assists in the resolution of invoice/receiving discrepancies as necessary; identifies, researches and resolves Match Audit discrepancies; reports all none resolved discrepancies to Materials Management Coordinator and/or Central Distribution Manager.
13. Performs housekeeping duties per department policy.
14. Assist in managing traffic flows in and out of the receiving dock area; notifies coordinator and/or security when vehicles block or hinder traffic flow.
15. Processes medical gas request forms to Central Distribution’s office; maintain proper inventory flow and storage of full and empty medical gas tanks; manages and controls medical gas carriers.
16. Maintains all transporting vehicles used to move supplies throughout Hospital.
17. Sorts and stages letters and small packages for transporting to Mailroom for distribution; receives from the Mailroom all packages requiring processing and routing; processes all Mailroom packages according to standard receiving procedures.
18. Completion of tri-annual for DOT hazmat employee training and semi-annual IATA training, incompliance with the requirements of 49CFR172.704(a) (1and2). Training to be performed by Safety and Security liaison.
KNOWLEDGE , SKILLS AND ABILITIES REQUIRED
1. High school education or equivalent required.
2. 1 year previous receiving experience.
3. 1-year computer experience entering data.
4. Basic math and English skills.
5. Basic knowledge of lifting and transporting skills.
