Receptionist & Administrative Assistant - Zelouf International

Role Summary:

The Receptionist/ Administrative Assistant will perform various tasks and functions to ensure smooth office operations. Tasks include, but are not limited to, front desk and lobby management, answering phones, and greeting/serving visitors, as well as various general office administration duties.

Role Description:

• Welcome clients and visitors, assist as needed, and serve refreshments.
• Answer phones, route calls, and deliver messages.
• Oversee daily office opening procedures.
• Process incoming and outgoing mail, deliveries, and courier services.
• Manage office and breakroom supplies; maintain related budgets.
• Coordinate delivery and setup of community lunches.
• Work with cleaning staff to ensure a clean and organized office environment.
• Maintain office operations and distribute building communications.
• Present a positive and professional image for the organization.
• Process and route sample development and billing (freight forwarder to China Office).
• Review monthly statements from Freight Forwarder and China Office.
• Maintain WIP for routing and billing of samples.
• Enter daily detailed packing lists (DPLs) in ERP for samples and bulk shipments.
• Process paperwork for sample product development yardages before delivery to customers.
• Communicate professionally with internal and external parties.

• Proficient in Excel and various data management systems
