Specific Tasks/Duties:

Telephone and Communication:

• Answer multi-line telephones, directing calls to the appropriate personnel while maintaining client confidentiality and taking accurate messages.
• Greet and direct authorized visitors and vendors, ensuring completion of confidentiality agreements and maintaining a Visitors Sign-In/Sign-Out log.
• Conduct tours for prospective residents and family members, showcasing community amenities.

Administrative Tasks:

• Accept and record payments received via mail and at reception.
• Open and distribute incoming mail to the appropriate recipients and ensure accurate distribution of residents' mail and packages.
• Assist department heads with clerical duties as needed and foster team spirit by cross-training to support other office staff.

Position Requirements:

• Education: High school diploma.
• Applicable Experience: 1-2 years administrative/reception work (preferred).
• Professional Memberships, Licensures, Certifications: N/A.

Essential Functions:

• General Working Conditions: Exposed to audible noises due to alarm systems.
• Physical Demands: Standing, sitting, walking, reaching, stooping, and kneeling. Ability to lift up to 10 pounds.
• Mental Acuity Requirements: Ability to read, interpret documents, write reports, speak effectively, and apply common sense understanding to carry out instructions and solve problems.
• Sensory Requirements: Close vision, talking, and hearing.
• Technical/Motor Skill Requirements: Proficiency in operating office machines (copier, facsimile, calculator) and computer software programs.
