We are currently seeking a dedicated and organized Receptionist to join our team in Manassas, VA.
The Receptionist will serve as the primary point of contact for office communications and administrative support. This role requires excellent interpersonal and organizational skills, as well as the ability to collaborate across multiple departments. The ideal candidate will contribute to maintaining a professional, welcoming, and well-organized office environment.
Key Responsibilities:
- Front Desk Management: Answer phones, respond to emails, and handle office communications with professionalism and efficiency.
- Cross-Department Coordination: Collaborate effectively with all departments to ensure seamless operations.
- Office Organization: Maintain a tidy office space and well-stocked break room by organizing supplies and materials.
- Supply Management: Request and manage office supplies to ensure they are available as needed.
- Mail Handling: Manage incoming and outgoing mail, ensuring timely distribution.
- Event Coordination: Assist in planning and coordinating office events, ensuring smooth execution.
- Program Implementation: Support the implementation of new office programs, procedures, and systems.
- Project Support: Maintain, communicate, and distribute project details, and follow up daily with team members on incomplete tasks.
- Administrative Tasks: Perform data entry, generate reports, collect metrics, and compile progress reports.
- Timeline Management: Communicate changes in timelines and new information to the team, track project changes, and adjust schedules accordingly.
- Travel Arrangements: Assist team members in booking travel and accommodation arrangements.
Basic Qualifications:
- High school diploma or equivalent; additional education or certifications in office administration is a plus.
- 6 months of experience as a receptionist, office assistant, or similar role.
Preferred Qualifications:
- Excellent communication and interpersonal skills.
- Strong organizational and multitasking abilities.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Ability to work independently and collaboratively with a team.
- Attention to detail and a proactive approach to problem-solving.
- Prior experience in project coordination or administrative support is an advantage.
