Overview
The receptionistis responsible for supporting departments administrative needs
The receptionist is the first point of contact for all incoming calls and visitors and is responsible for directing all calls and visitors through the building and ensuring that all other receptionist duties are complete in an accurate, high quality, and timely manner
The receptionist assists the department with administrative tasks.Monitor and order supplies as needed and ensure they are put away in conjunction with the Operations team
Assist with preparation and logistics for events as directed by manager.This position also has AR responsibilities: Accounts Receivable Support.Process driver manifest paperwork, which includes checking that all needed collections have been made, preparing collected items for deposit, and providing proper notice to all involved parties on any collections that were missed Accept payments turned in by sales reps, verify checks and log sheet for accuracy, count and confirm totals match to log sheet entries.Know, understand, and abide by all Federal and State laws pertaining to alcoholic beverages.Attend, participate, and complete all company regulatory and required trainings.May be required to perform other duties as requested, directed, or assigned
Responsibilities
+ Maintain professional environment by communicating effectively with internal and external customers
+ Attend to visitors by greeting, directing, and announcing them appropriately
+ Answer, screen, and forward any incoming phone calls while providing basic information when needed
+ Provide assistance with directions and taxi/shuttle arrangements
+ Acknowledge daily deliveries by receiving packages, sorting mail, and communicating recipients
+ Maintain confidentiality as appropriate; present a positive image of Breakthru Beverage
+ Assist in the control of access to the Breakthru Beverage facility by following established procedures
+ Maintain security by following procedures and controlling access (monitor logbook, CCTV, gate phones, issue visitor badges)
+ Report incidents or suspicious activity to security
+ Prepare security logs or reports as required
+ Assist with any administrative tasks as needed
+ Receive and sort mail and deliveries
Ensure outgoing mail is appropriately handled
+ Place, receive and hand out office supply orders
+ Assist with conference room scheduling
+ Other duties, as assigned by the jobholder’s supervisor, may also be required
+ Conduct safe and responsible interactions with the public
Qualifications
+ Minimum of 1 year of experience in administration role + Basic PC skills using MS Office and other various computer programs including presentation software + Must be a results-oriented professional with verbal/written communication skills using diplomacy and discretion as well as customer service skills + Ability to multi-task, work independently and/or within a team, pay attention to detail and meet deadlines + Analytic and Reporting skills + Utilize sound judgement and problem-solving skills + Ability to work in fast-paced, high-volume, team environment
Preferred Qualifications:
+ Bi-lingual in Spanish and English
Physical Requirements:
+ While performing the duties of this job, the employee is required to remain in a stationary position at times; communicate, and operate a computer and telephone
Competencies:
+ Accountable for meeting own targets, work is reviewed periodically
+ Problems encountered will be defined, repetitive, and routine with a solution readily available
