Job Description: Regional Associate
The Regional Associate is responsible for supporting operations across the Rutherford residential apartment community portfolio, as well as providing assistance to the Regional Managers and Executive Team. This role oversees key operational processes, ensuring accurate and timely reporting of Key Performance Indicators (KPIs). The Regional Associate will collaborate closely with all team members and serve as a representative of the company, maintaining high standards of communication and service to internal and external stakeholders.
Essential Duties
Portfolio Operations:
- Compile, audit, distribute, and present reports on Delinquency, Incident Reports, Occupancy, Retention, Resident Data, Property Safety, and Market Trends for the Rutherford portfolio.
- Partner with Regional Managers to conduct quarterly curb appeal audits and follow through on site-specific curb appeal initiatives.
- Assist with new property acquisitions by handling pre-takeover administrative tasks and providing in-person coverage when needed.
- Support software implementation initiatives, becoming a subject matter expert to provide training support for team members.
- Foster relationships with vendors, ensuring compliance with Company insurance requirements, and maintaining the Vendor Compliance database.
Internal Team Support:
- Support the Marketing and Training Specialist with resume screening, participate in interviews, and assist with new hire onboarding.
- Collect and maintain records for mileage logs, credit card reconciliation, and leasing bonuses.
- Provide new hire training and support, as directed by the Marketing and Training Specialist or Regional Manager.
- Research and distribute industry-specific legal updates promptly.
- Ensure compliance with local Rent Registries.
- Provide in-person, on-site coverage during short staffing situations as necessary.
Resident Relations:
- Manage the Customer Care Department to work with residents and site team members, ensuring positive service outcomes.
- Handle resident inquiries and resolve concerns professionally, maintaining accurate records and escalating issues to the Regional Manager as necessary.
- Conduct oneself in a manner that fosters a positive resident experience, upholding the company's reputation for exceptional service.
Staff Management:
- Create a motivating atmosphere for team members, reinforcing "Ownership" and maintaining a productive, focused, and positive work environment.
- Disseminate information from the Executive Team to Community Managers, supporting the execution of business plans.
- Maintain the operations calendar, monitor reporting deadlines, and track team member performance, ensuring compliance with company policies.
- Review and correct reports with Managers to ensure accuracy and adherence to company policy.
Qualifications:
To perform this job successfully, the individual must meet the following qualifications:
- Technical Skills: Ability to stay current with changing technology, including software and job-specific programs. Proficiency in Windows, MS Office, Word, Excel, and Google Suite, with preferred proficiency in OneSite and/or Entrata.
- Company Policies: Uphold and support all company policies and procedures.
Education/Experience:
- Minimum of three years of related experience and/or training, or an equivalent combination of education and experience.
- Working knowledge of eviction law, Fair Housing mandates, and other legal issues affecting property management.
Language Skills:
- Ability to respond to inquiries or complaints from customers, regulatory agencies, or members of the business community.
- Strong writing skills, including the ability to draft speeches and articles that adhere to prescribed formats.
- Capable of presenting information effectively to top management, public groups, and boards of directors.
Mathematical Skills:
- Ability to work with mathematical concepts such as probability, statistical inference, geometry, and trigonometry.
- Apply concepts such as fractions, percentages, ratios, and proportions to practical situations.
Problem-Solving Skills:
- Ability to define problems, collect data, establish facts, and draw valid conclusions from extensive technical instructions and complex variables.
Certificates, Licenses, Registrations:
- ARM, CPM, or CAM designation preferred.
Physical Demands:
- Ability to carry small computer equipment, paperwork, and boxes of files.
- Vision requirements include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus, particularly when using a computer, driving, or reviewing property repairs/maintenance.
