Looking for a highly organized and client-focused Sales Administrator to join the team. This individual will be responsible for managing the initial stages of the client relationship, overseeing the sales process, and ensuring an exceptional client experience from the first interaction.
The Sales Administrator plays a key role in supporting the CEO and the executive team by managing client relationships, coordinating prospect and client meetings, and overseeing the client journey. This position requires a detail-oriented, organized individual who can handle various aspects of sales administration, from client onboarding to CRM management and contract administration. The ideal candidate will have strong communication skills, a customer-first mindset, and experience in managing sales pipelines and client-facing events.
Compensation: $60,000 - $90,000 DOE (Jr – Sr level encouraged to apply)
Location: Purcellville, VA - hybrid
Schedule: Monday – Friday, standard hours
(HYBRID – 4 days per month, schedule TBD)

Sales Administrator Responsibilities:
- Schedule and coordinate initial meetings with clients and prospects. Organize Zoom calls, welcome calls, and onboarding sessions.
- Act as the first point of contact for new clients, creating a welcoming experience and facilitating a smooth transition into the coaching process.
- Manage the early stages of the sales process, including setting up prospect meetings and keeping track of follow-up actions.
- Maintain accurate and up-to-date records of all client interactions, statuses, and next steps.
Prepare contracts, proposals, and follow-up reports for clients. - Oversee the CRM system, ensuring that all client data, interactions, and progress are meticulously tracked and updated.
- Regularly report on the sales pipeline and provide insights to the CEO and leadership team.
Manage client escalations and special requests, ensuring they are resolved in a timely and professional manner. - Continuously check in with clients to gauge satisfaction and collect feedback, reporting key insights to the CEO. Ensure that client requests and questions are handled promptly and professionally.
- Assist with client events, networking opportunities, and follow-up communications to strengthen client relationships.
- Handle logistics and follow-ups for all sales-related events, ensuring they are executed smoothly.
- Work closely with the CEO, providing direct support in managing client relationships and ensuring that the sales process is seamless.
- Assist with managing the CEO’s schedule, ensuring alignment with key client and prospect meetings.
- Collaborate with the administrative assistant to provide mutual backup support for both sales and administrative functions.
Sales Administrator Education/Experience/Qualifications:
- High school diploma or equivalent; associate or bachelor’s degree preferred.
- Minimum of 2-4 years of experience minimum in a sales administration, sales support, or client services role.
- Strong proficiency in Mac/Apple systems
- Experience managing and updating CRM systems, with a focus on tracking sales pipelines and client interactions.
- Strong written and verbal communication skills, with the ability to present confidently to clients and prospects.
- Ability to manage multiple tasks, prioritize, and keep track of various client needs in a fast-paced environment.
- A customer-first mindset, dedicated to creating a positive client experience throughout the entire client journey.
- Proactive in addressing client concerns, managing escalations, and ensuring that all client issues are resolved efficiently.
- Team-oriented with the ability to work closely with colleagues and provide support across various departments.
- Previous experience working in a client-facing role in a professional services or executive coaching firm.
- Familiarity with sales operations and the ability to manage client pipelines effectively.
- Strong event planning or coordination skills, especially for client-facing events and workshops.
- Experience managing virtual meetings and client communications.
