Responsibilities:
- Sales Contract Management: Process incoming sales contracts, set up master files, and prepare house files for closing. Manage the receipt and filing of completed contract packages and verify all file details are uploaded to the lot-specific digital shared folder.
- Coordination and Communication: Communicate regularly with homeowners, construction and sales team members, and closing partners (title, mortgage, banks, realtors, etc.) to coordinate accurate closing timeframes. Ensure quality customer service is delivered throughout the process.
- Reporting and Documentation: Create and send out weekly reports for the team to review. Manage the production backlog meeting with the area construction manager. Update projected closing reports and manage physical files for sales contracts and closings.
- Financial Management: Coordinate with accounting and sales to ensure earnest money deposits are received and contracts are entered correctly in the production management system. Provide timely information regarding contract processing or closing details to relevant departments.
- Spec Home Management: Review and process spec package requests, ensuring the designated spec home quota is met for all communities.
- Support for Appraisers and Lenders: Assist appraisers by providing necessary information and assist lenders with documentation required to process loans.
- Closing Preparation: Gather necessary documentation for closings, prepare home files, and submit final figures to title companies. Approve Sellers Closing Disclosure and coordinate document execution for all settlement-related documents.
- Post-Closing Processes: Manage the receipt of all closing construction documents and upload them to the shared file. Gather input from buyers to address and prevent future issues, and look for opportunities to improve processes.
Qualifications:
- High School Diploma or GED equivalency.
- Three (3) years or more of previous experience in new construction contracts and closings, or a combination of related education, experience, certifications, and licenses.
- Ability to work effectively both independently and within a team.
- Excellent verbal and written communication skills.
- Strong organizational and time management abilities.
- Detail-oriented and tech-savvy.
- Ability to multitask, troubleshoot, and problem-solve effectively.
