Job Title: Sales Support Specialist I
Job Location: Duluth, Georgia
Work Schedule: Hybrid: M-F (Tuesday, Wednesday, Thursday in office; Monday and Friday remote). Available shifts: 8AM-5PM, 9AM-6PM, 10AM-7PM
Position Overview
The Sales Support Specialist I independently performs a broad range of sales support services including assisting with generating accurate and competitive quotes for potential & existing customers, reviewing contracts for accuracy, supporting the sales team and other internal departments, and ensuring a smooth and efficient quoting process. This role primarily focuses on executing established processes and providing essential administrative support to the sales team and other internal stakeholders.
Essential Job Functions and Basic Duties
- Collaborate with sales executives and customers to understand their requirements and provide accurate and timely quotes. This involves analyzing pricing structures, product configurations, and any discounts or promotions applicable.
- Review and manage contracts to ensure accuracy on terms and conditions, pricing details, product specifications, and any special provisions.
- Conduct thorough checks to ensure the accuracy of quotes and contracts, identifying any discrepancies or errors, and rectifying them promptly.
- Serve as a point of contact for sales executives and effectively communicate and clarify pricing, contract terms, and any related details. Provide them with the necessary support throughout the quote and contract process. This involves coordinating any revisions or updates, addressing sales-related inquiries, and assisting in resolving any issues that may arise.
- Maintain organized records of quotes, contracts, and related documents. Ensure proper documentation and record-keeping to facilitate easy retrieval of information and support compliance requirements.
- Review and maintain out of contract billings on all service repair cases.
- Attend meetings and training as required.
- Keep management informed of area activities and of any significant problems or concerns.
- Contributes to the fulfillment of department and Company objectives and goals.
- Adhere to established security safeguards, procedures, and other Company policies.
- Perform other duties as assigned.
Minimum Qualifications
Education and Experience:
- Bachelor’s degree or minimum of 3 years’ relevant work experience
Required Knowledge:
- Knowledge of Microsoft Office Suite
- Salesforce.com CRM or equivalent CRM system experience is a plus
- Proven customer-facing administrative support, multitasking, and time management skills
Skills/Abilities:
- Dependable self-starter who demonstrates initiative to create improvements.
- Demonstrated systems acumen, including PC-based ERP system experience and strong data base skills is required.
- Proactive change agent with a demonstrated ability to develop processes and procedures and meaningful information for management.
- Excellent interpersonal, written, and verbal communication skills.
- Strong analytical and problem-solving skills, well organized, with solid attention to detail.
- Results orientation and attention to timely and accurate completion of daily work requirements.
- Ability to multi-task, work under pressure and meet deadlines.
- Demonstrated ability to interact constructively with individuals at all levels within the organization and to work in a team environment.
