KEY RESULTS AREAS
- Staff Scheduling: 80% of responsibilities reside in this single function. Effectively and proactively managing work schedules for 80-100 Direct Support Professionals (DSPs). Measured by low overtime usage and high employee satisfaction scores.
- Office Reception & Administration: Primarily responsible for the office experience with inbound phone and in-person traffic. Also manages the distribution of office mail, faxes, DocuSign envelope and general office voicemails. Measured by overall office efficiency.
JOB DUTIES
Staff Scheduling
- Responsible for scheduling 80-100 Direct Support Professionals (DSPs) on a weekly basis, which includes part-time supports and Emergency Staffing services
- Creative thinker who can problem solve a wide range of staffing challenges. Has multiple contingency plans in place
- Proactive staff engagement through clear and precise communications where they feel informed and respected
- Responsible for finding solutions to time-off requests, resignations, no-shows, new hire training, holiday challenges and more
- Carries on-call phone and responds to after hours calls as needed within a multi-person rotation
- Reconcile time off requests to timesheet submissions
- Prepares weekly OT report for management
Office Reception and Administration
- Assures that there is adequate coverage of the office during regular business hours and coordinates phone responsibilities when away from the reception desk for business reasons
- Provide a prompt, warm, and welcoming environment for inbound calls and foot traffic to the office for all visitors
- Process office mail, faxes, DocuSign envelopes, general office voicemail box and more
MEETINGS
- Meet with the manager to review questions and get updates, weekly.
- Attend meetings with HR Manager, Scheduling Manager, Training Coordinator, and COO to review onboarding/offboarding process, statistics, opportunities, etc., monthly (or as needed).
- Attend Leadership team meetings, weekly.
- Attend other meetings, as needed.
JOB REQUIREMENTS:
- Associates Degree
- 2-years' experience in staff scheduling, human resources, or related fields
