Scheduling Specialist - Gabriel Group

Summary/Objective:     

The main function of the position is the scheduling and rescheduling of jobs through the various stages of Production to accommodate client needs. It requires the gathering of information from Account Managers through Printstream and negotiating with all parties to accomplish this. The Scheduling Specialist also serves as the backup for the Postal Specialist and is the “gatekeeper” making sure we are on track for hitting required deadlines in all departments. 

Essential Functions: 

Scheduling

• Checking email from Account Managers for jobs that need to be scheduled this starts the scheduling process. Once a job is ready to be scheduled the Mail Estimating Module is checked for needed information such as mail date, copy due date and data due date. Special Events needed for Production are then added. The information in scheduling should be reviewed against the work ticket to ensure all needed information is provided. The schedule is then entered in the Scheduling Module and machine availability is checked. The schedule should be completed in such a manner that the completion dates are made pertinent to the customers requested date.

Rescheduling

• Checking the Scheduling Module for jobs that have had changes to them and need to be rescheduled. Job Status and Change Order areas need to be reviewed for the changes made and a decision is made as to whether or not the job needs to be rescheduled. Any areas that are not clear need to have personal follow up with the Account Manager.

Postal Specialist Back-Up

• Fill in for Postal Specialist when that person is out of the office. Duties will include recording postage used, and balance postage inventory. Fill out postal form 3602 for all jobs mailing on the day that the backup duties are being performed. Distribute stamps for Lettershop use. Answer questions on postal regulations, if the answer is not known call the appropriate person at the USPS to get correct answer.

Requesting of all production materials

• Responsible for requesting digital materials 48 hours prior to the running of   production.
