6 Month Contract
Onsite 3 days a week (Tues/Wed/Thurs)/ Remote 2 days (Mon/Fri)
Pay: $30-32 per hour
This Senior Administrative Assistant position will provide administrative support to one or more Executive Officers and their teams in the Technology Department. The ideal candidate must have strong organizational, verbal and written communication skills, be flexible and agile as priorities change, work effectively with other administrative assistants and be able to handle confidential information responsibly.

This Senior Administrative Assistant position will provide administrative support to one or more Executive Officers and their teams in the Technology Department. The ideal candidate must have strong organizational, verbal and written communication skills, be flexible and agile as priorities change, work effectively with other administrative assistants and be able to handle confidential information responsibly.
Responsibilities include
- Telephone coverage with assisting the caller or taking messages for routing to the appropriate individual.
- Manages the VP e-mails and files for recordkeeping.
- Manages the VP and CVP calendars- help balance and prioritize demands on time and focus; including handling of last minute scheduling conflicts.
- Provide administrative support to the team (attendance, ordering supplies, etc.).
- Coordinate and schedule meetings, reserve rooms, forward meeting notices, arrange conference calls or video conferences, order meals, arrange dinners and prepare meeting materials.
- Manage expense reporting: Reconciles travel expenses as well as process other expenses.
- Maintain SAP attendance records: Attendance - Monitor, track and update attendance for team.
- Maintain organization charts
- Process invoices through A/P and reconcile procurement card.
- Assist HR and all divisional people managers with on-boarding for new employees.
- Manage secure and sensitive information.
- Other administrative duties as assigned.
Administrative Skills
- Proficient with Microsoft Office Package - Word, Excel, PowerPoint and Lotus Notes a plus
- Excellent recordkeeping
- Excellent file management - creation, maintenance and disposition
- Directs inquiries and follow ups with the appropriate parties to assure timely and thorough resolution
Required Qualifications
- Must be comfortable maintaining confidential information
- Demonstrates a strong sense of urgency
- Possesses a clear understanding of priorities
- Good oral and written communication skills
- Must be discreet in handling confidential information
- Must be a team player
- Degree and 5 plus years of work experience
