About the Job
We are seeking to fill a key leadership role of Specialist Practice Site Office Manager at one of our busy medical offices, Fresno Digestive Health (FDH) - Herndon within Sante Health System in Fresno, CA! This role will be responsible for planning and coordinating the work of clerical and clinical efforts at the site, resulting in a smooth comprehensive management of the day-to-day operations.
QUALIFICATIONS
- Bachelor's or associate degree in business or healthcare related field.
- Five years of medical office administration, including at least one year in the associate specialty setting.
- Additional courses in medical terminology and practice management preferred.
- Experience in specialist/surgical practice with referral coordination.

- Knowledge of Group Practice policies, procedures and systems.
- Knowledge of human resources management techniques as it relates to the office manager responsibilities.
- Knowledge of clinical office procedures. Knowledge of computer systems and applications.
- Knowledge of medical practices, medical terminology, and coding.
- Knowledge of grammar, spelling, punctuation and sentence structure to answer correspondence and prepare reports.
- Skill in planning, organizing, and supervising.
- Skill in evaluating the effectiveness of existing methods and procedures.
- Skill in operating a variety of office equipment.
- Ability to deal with patients, medical and Group Practice management staff and the public effectively.
- Ability to read, interpret and apply policies and procedures.
- Ability to focus toward excellent customer service and to teach others to do the same.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Management of site staff to develop and implement short- and long-term work plans and objectives for administrative and clinical functions.
- Responsible for hiring, onboarding new employees, performance, setting staff expectations, daily approvals of employee timekeeping, and staff evaluations to make the appropriate recommendations for merit increases, promotions, and improvement actions.
- Responsible for ongoing on-site staff and provider satisfaction through engagement and retention efforts.
- Develop and implement organizational policies and procedures.
- Develop guidelines for prioritizing work activities, evaluating effectiveness and modifying activities as necessary.
- Coaches, mentors and trains employees for growth and development opportunities in skill, knowledge and empowerment.
- Prepare and maintain all call coverage calendar schedules and bill for call coverage contracts.
- Hold staff accountable for work assignment and completion. Monitor work status and progress.
- Identify, analyze and resolve work problems with the support of leadership.
- Ensure that the staff receives appropriate training and employment development.
- Develop and maintain an efficient patient management system in order to effectively follow-up for repeat diagnostic procedures and clinical evaluations for all patients.
- Facilitate ancillary care for patients who require such care.
- Establish and maintain referral systems.
- Assist billing and utilization review in the process of identifying ways to enhance revenue while in compliance and ensure all charges are captured and billed.
- Develop system to ensure all procedures and authorizations are maintained.
- Oversee various personnel matters including forms, documentation and procedures as required.
- Participate in professional development activities.
- Oversees the preparation and maintenance of management reports necessary to carry out functions of the practice. Prepares periodic reports as necessary or required.
- Stay updated with industry trends, regulations and best practices related to gastroenterology and healthcare administration.
- Communicates appropriately and clearly to physicians, staff and office manager, acting as liaison for system-wide information distribution and feedback.
- Prepare agenda and attend meetings as required.
- Maintains complete up to date file of each provider's licenses, CME, medical memberships, certifications and credentialing. Monitors renewals of licenses and forwards copies to facilities as renewals are received. Complete forms/processes when necessary.
- Facilitate physician onboarding and re-credentialing with leadership as needed.
- Maintains strictest confidentiality of patient records as well as proprietary business issues.
