Supports senior leaders, specifically the Specialty and Surgery Associate Medical Directors (AMDs) + service lines. The incumbent will work closely with other Executive and Senior Administrative Assistants, as well as Executive and Senior Leaders in Care Delivery Operations (CDOs).
Responsibilities:
1. Provides complex administrative support including but not limited to Outlook calendar management, meeting coordination and scheduling, agenda and meeting minute management, action item and/or issue monitoring and tracking for team or project accountability, program and/or project support, handling confidential materials, non-routine information and general administration matters, word processing, excel and database management, proofreading, e-file management, and other administrative task management.
2. Anticipates administrator’s needs and proactively initiates assistance, including special projects and tasks of a confidential nature; stays informed of all aspects of the administrator’s role in order to be proactive in offering assistance.
3. Interfaces and collaborates with internal/external clients; may require considerable discretion and initiative.
4. Organizes and prioritizes tasks; demonstrates the ability to give highest priority to tasks during dynamic organizational shifts or changes. Illustrates professional flexibility and copes with stress and change gracefully.
5. Coordinates events, including venue reservations, catering, and calendaring.
6. Communicates regularly with administrator(s) and succinctly reports all actions taken on their behalf.
7. Researches background material and collect data for reports, presentations and correspondence.
8. Maintains current related online resources, including policies, standard work and related workflows.
9. Works independently and within team(s) on special, nonrecurring and/or ongoing programs/projects.
10. Coordinates special projects, at the request of the manager, which may include: planning and coordinating multiple presentations, disseminating information, and assist in organizing organizational events.
11. Generates general correspondences, memos, charts, tables, graphs, business plans, etc.
12. Arranges travel as needed.
13. Orders departmental supplies as needed.
