Job Brief:
We are looking for a proactive and organized Manufacturing Office Assistant to join our team. In this role, you will support the manufacturing office with a variety of administrative and operational tasks to ensure efficient workflow and communication between departments. Responsibilities:
- Provide administrative assistance to the manufacturing team, including file organization, preparing documents, and assisting with inventory and purchasing.
- Accurately enter and maintain data within the manufacturing database while ensuring confidentiality.
- Monitor stock levels, place orders for supplies, and track inventory to meet operational needs.
- Liaise with vendors to research pricing, confirm orders, and follow up on deliveries.
- Communicate effectively with clients, suppliers, and internal departments to resolve inquiries and ensure a smooth workflow.
- Match purchase orders, packing slips, and invoices for correct quantities and pricing.
- Collaborate with Inventory, Purchasing Agent, and Shop Foreman to ensure accurate and timely operations.
- Handle special projects and additional tasks as assigned by supervisors or management.
Skills Required:
- High school diploma or GED required; Associate degree in business administration or related field preferred.
- Previous experience in an office support role, ideally within a manufacturing environment.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and ability to learn manufacturing software.
- Strong organizational and time-management skills, with an eye for detail.
- Basic math skills and ability to accurately manage data and records.
- Ability to multitask and prioritize effectively in a dynamic environment.
- Good communication skills, both written and verbal.
- Customer service-oriented with a team player attitude.
- Understanding of purchasing processes, including order tracking and vendor coordination.
