JOB SUMMARY:
Responsible for providing secretarial support to the early childhood program. Assist the program in clerical related duties, scheduling appointments, assisting callers and visitors, data entry, and bookkeeping.
ESSENTIAL DUTIES/RESPONSIBILITIES:
- Perform clerical and business-related duties - reserve rooms, submit work orders, copying, filing, set up for meetings, and maintain up to date records.
- Answer phones, assist callers with questions and provide information or route calls to appropriate individuals.
- Maintain files related to the center.
- Compose, type, maintain and distribute routine correspondence, handbooks, etc.
- Maintain and distribute forms.
- Create reports and spreadsheets of information.
- Contact parents as needed.
- Greet and assist visitors and walk-ins.
- Schedule and confirm appointments for staff members.
- Maintain disciplinary tracking systems and files in accordance with regulations.
- Coordinate and monitor safety procedures for the purpose of ensuring safety of students and staff.
- Coordinate meetings and events.
- Support students in labs with syllabus and volunteer hours.
- Support families with sign in and out processes.
MINIMUM QUALIFICATIONS:
High school diploma or equivalent, plus post-secondary courses equivalent to one (1) year of college or office experience or equivalent combination of education and experience.
Minimum of two (2) years' experience in clerical field. Operating knowledge of Microsoft Office (Word, Excel, PowerPoint, and Access) or similar software programs.
Experience in early childcare setting is desirable.
WORKING CONDITIONS
- Climate-controlled working environment.
- Must be punctual and able to work Monday-Friday from 8:00 a.m. to 5:00 p.m.
- Must be able to work indoors as well as transition the classroom to outdoors.
- Job requires sitting for long period of time (during planning and reporting) and standing for long periods of time (during observations and training), as well as stooping, squatting, and running.
- Availability to attend programmatic trainings, meetings, and seek out staff development opportunities.
