Position Summary:
Provides indirect leadership support within the Records Office of the University of Alabama at Birmingham Marnix E. Heersink School of Medicine. Collaborate with leadership staff to support operational initiatives within the Records office. Responsible for administratively managing the registration programs for medical students including, but not limited to, course catalog, student scheduling, and degree audit.Provides input in the development of program plans and objectives with responsibility for achieving objectives and implementing process improvements within defined parameters. Works with faculty and staff in academic departments to update the course catalog, create course offerings, and manage student scheduling.
Trains course contacts and students on registration processes. Updates and implements operational policies and procedures, and ensures appropriate documentation is in place and accurate. Attends committee meetings and leads dissemination of scheduling information to students, faculty, and staff.
Key Duties and Responsibilities:
1. Assists in the development of policies and procedures to support operational goals within the Records office.
2. Assists with training other staff.
3. Serves as supporting resource to students, faculty and others regarding academic policies and procedures of the School of Medicine.
4. Manages all medical student scheduling programs for UAB medical students. Establishes and executes an annual plan for each program that meets program objectives.Convenes and leads a cross-functional scheduling task force from across undergraduate medical education, medical student services, and regional campuses to discuss scheduling program, policies and procedures.
5. Collaborates with Medical Education Information Systems (MEIS) to run annual scheduling lottery processes for a fair and equitable course scheduling program.
6. Creates communications and conducts training about scheduling processes for all constituencies, including faculty, staff and students.Manages messaging and communication tools, including web site content, social media, email, and additional resources.
7. Maintains the course catalog including the creation of new courses and the generation of course offerings/sections.Leads an annual course catalog audit and update process, interacting with faculty and staff to ensure accuracy of course descriptions, offerings, and prerequisite requirements.
8. Works with Medical Education Information Systems (MEIS) to manage and update the course catalog database and update process, including making process improvements for efficiency and accuracy.
9. Schedules all Heersink School of Medicine students in individual academic courses.
10. Manages medical student degree audit process to ensure all students have met graduation requirements.Advises students on requirements and deficiencies.
11. Performs other duties as assigned.
Salary Range: %2451,270 - %2483,300
Bachelor's degree in a related field and five (5) years of related experience required. Work experience may NOT substitute for education requirement.
