Job description Position Summary:
This position is responsible for brokerage services & driving cross-functional initiatives with transportation providers to provide cost-effective, timely transportation to the members we serve. This manager will set the tone for the team by prioritizing timely scheduling/dispatch operations, maximizing cost effectiveness, and efficiency within the department through a variety of operations systems, and managing the team members while ensuring a smooth operational flow within the department workforce. This manager will be responsible for staff productivity, instruction & coaching on departmental processes, motivating & counseling direct reports & employees as needed. Responsibilities also include: oversight of transportation services department, ownership and execution of cross-functional transportation initiatives multiple departments to serve the state of Indiana. Essential Duties and Responsibilities:
- Provides management expertise, support, and supervision to the Trip Assignment Specialists to deliver a quality service experience through our vendor network providers and fleet drivers.
- Communicates and enforces job responsibilities and service requirements to meet team goals and objectives as aligned by management/leadership.
- Ensures team has utilized and exhausted all provided resources to confirm all trips are covered; including but not limited to verifying in area/out of area provider availability, reconnecting with company fleet provider, collaborating with team members and negotiating vendor rate options.
- Collaborates and responds to internal requests to resolve complaints and compliance issues.
- Maintain process adherence, and drive productivity within team for most efficient execution of tasks and projects. Leads multiple projects to ensure cohesion between teams and strengthen service goals.
- Creates and implements action plans, presents status reports, overviewing operational performance metrics. Analyzes complex trends through data for improvement of overall business health, and provides meaningful solutions/action plans for improvement to contractor transportation services.
- Prepares and leads presentations, meetings, communications, and continual education to strengthen service, provide problem/solution scenarios, and review performance in accordance with compliance requirements/ company goals, summarizing key points and simplifying complex messages.
- Collaborates and responds to internal requests from Compliance Dept. to answer questions, educate, and resolve complaints and compliance issues.
- Understands, communicates, and provides written documentation to staff on company policies, processes, and procedures, to ensure accurate and successful service outcomes. Collaborates with HR as applicable.
- Coordinates continual education, coaching and review of service expectations throughout all transportation services department for all employees.
- Communicates with team daily to resolve escalated issues from direct reports and collaborates/communicates with leadership team with updates.
- Contributes to the development and use of efficient processes, effective management practices, and clear communications across the organization to ensure that day-to-day operations are performed with the highest levels of accountability, productivity, consistency, and integrity.
- Attends and applies all company trainings as required for position and compliance; including but not limited to HIPPA, Fraud Waste & Abuse, and Sensitivity training.
- Must be available to work or provide on-call service when needed in a 24/7 work environment.
- Performs other work-related duties as assigned Minimum Qualifications (Education, Experience, Skills)
- Strongly preferred Bachelor’s degree and/or 1 year of experience in the management or NEMT operation preferred.
- Ability to remain flexible in work assignments/scheduled hours.
- Must have strong computer skills; efficient with MS Office, mapping tools, transportation software, and office equipment (i.e., telephone, headset, PC, Fax machine, scanner, printer, and photocopier).
- Effective written and verbal communication skills.
- Strong leadership, organizational, planning, and time management skills.
- Ability to recognize and secure confidential information.
