The Vendor Performance Support Analyst - USF Direct is responsible for improving the operational performance of vendors in the Direct channel. This involves analyzing trends and deviations from established process and guidelines, identifying obstacles and opportunities and working directly with vendors to implement positive change. The role will be responsible for leveraging data and analytical mindset to identify areas of challenge and performing outreach and coaching to the Direct vendors. Specific actions include review and follow up on aging orders, working the monthly open order report to gather feedback from vendors and provide to order operations team, leverage the Operations Performance Dashboard to coach vendors who are missing tracking, utilizing the incorrect ship speed, are delayed in invoicing, or not shipping in a timely manner. This role will also be responsible for gathering and analyzing item level data related to legal compliance and state product content regulations to ensure we are removing ineligible items at the market level and avoiding any non-compliance incidents. In addition, this role will support periodic training and re-certification for new vendor requirements or of vendors who are failing operational requirements.
New Ways of Work : This position has been segmented as hybrid meaning the work is a combination of 3 days onsite In Rosemont, IL (Tuesday, Wednesday, Thursday) and 2 days remotely (Monday, and Friday) as defined by the role segmentation.
RESPONSIBILITIES
+ Leverage analytical mindset to identify trends, deviations, obstacles and opportunities – working directly with vendors to implement continuous improvement and coach on complex issues.
+ On an ongoing basis, review orders and vendor performance metrics – engaging in vendor outreach to address complex issues and gather feedback to Order Operations Team
+ Missing tracking information from orders – vendor email outreach to correct, open help desk tickets if needed
+ After vendors/items have been identified for state regulations - vendor email outreach for verification/ certification, or obtain item files for items that do not meet legal criteria
+ Create project trackers ie: Customer PO on label outreach, VDI training outreach, Legislation outreach
+ Training follow up – vendor email outreach with any docs needed
+ Update Packaging Cost Template – Monthly for Merchant Team to complete with new vendors added
SUPERVISION :
+ None
RELATIONSHIPS
+ Internal: Operations Team, Direct Merchandising Team, Onboarding, Compliance Working Group, EDI Support Team
+ External: Works closely with vendors, suppliers, contractors and 3rd party consultants
WORK ENVIRONMENT
+ Hybrid : This role is partially remote, and the associate is expected to perform assigned responsibilities from a combined home-based and office-based environment.
MINIMUM QUALIFICATIONS
+ 4 years minimum applicable experience required. Intermediate excel proficiency. Prior food service or vendor management a plus. Any background in operational training/coaching would also be relevant.
+ Detailed record keeping and tracking with the ability to assert an analytical mindset to identify opportunities for continuous improvement and implement corresponding actions.
+ Strong written and verbal communication skills
+ Excellent interpersonal and conflict resolution skills and experience
+ Intermediate proficiency in excel and power point
+ Strong attention to detail and a high level of data accuracy in reporting and follow up
+ Ability to create training materials and conduct training through Teams preferred
+ Work in both a managed and independent manner
EDUCATION
+ Bachelors degree preferred, Business focus ideal; comparable experience in vendor management or customer service is considered
