Primary Responsibilities:The Warehouse Administrative Assistant will work alongside our Director of Operations and Human Resources manager on various projects and reports that capture our daily operations efforts. Knowledge of Microsoft Excel is highly preferred.
Our Lehigh Valley facility is one of fourteen distribution centers strategically located throughout our nation and parts of Canada that provide natural, organic, specialty, and gourmet products to our customers.
The Warehouse Administrative Assistant plays a critical role in the daily operations of our business. They provide administrative and operational support, assist in the development of policies and procedures, and are responsible for maintaining records and documents. While the job duties can vary, a successful Operations Assistant must possess excellent organizational, communication, and problem-solving skills.
- Must be Spanish Bi-lingual
- Greet guests and field outside sales representative inquiries
- Maintain Reports and tracking for Referral Programs
- Ensure new hires and current employees are enrolled and properly use our timeclocks
- Runs time keeping reports and will work with the department managers for any errors or concerns
- Maintain the Day to day ECN (status change) forms for employees transferring work locations
- Bill Coding
- Data Entry
- Managing security building access and system preparation for annual audit
- Travel Arrangements
- Event/ Meeting preparation and planning
- Assists with shipping labels to ensure our production department receives them in a timely manner
- Assist HR with the following: Recruiting, phone screening candidates, HRIS, Onboarding, New Hire Orientation and Benefits, and File Maintenance
- Coordinating and managing day-to-day office and operational processes
- Maintaining records and documents related to operations
- Scheduling meetings and coordinating calendars
- Review and process invoices and expenses
- Conduct research and gather data for various operational projects
- Implement and adhere to company policies and procedures
- Must have a High School Diploma or GED
- Minimum of two (2) years of related experience in administrative or clerical roles that involve data entry, research, report writing
- Knowledge of Microsoft Excel
- Candidates with as least 1-3 years of experience
- Bi-lingual (English/Spanish)
Qualifications / Additional Skills / Aptitude:
- Contribute and support to the overall goals of the Operations Department.
- Takes initiative and works well independently.
- Capability of prioritizing and handling multiple projects simultaneously, under tight time constraints and deliverables.
- Assisting in the planning and execution of operational procedures and system
- Monitoring and maintaining office equipment and managing inventory supplies
- Providing administrative support for various departments when needed
- Flexible to travel to nearby DCs for admin support as needed
- Able to work effectively with peers, region and corporate leadership
- Ability to effectively present information and respond to questions
