Summary Description: The Workers Compensation Coordinator reports directly to the Director of Risk Management Services. Responsible for the routine insurance claims work of the department.
Duties and Requirements:
- Filing workers' comp and insurance claims and matters of urgency related to each.
- Communicating with workers and their managers about injuries/exposures to communicable diseases, reviewing event reporting system for unreported injuries requiring medical support.
- Use Microsoft Excel/Word/PowerPoint, Adobe Acrobat 2020.
- Use of DocuSign also helpful.
Essential Job Functions:
- Performs routine, technical, and administrative insurance work in support of the Commercial Insurance Program.
- Performs routine work regarding notary bonds, providing support for auto, cyber-security, general, professional, crime, property, and other insurance claims periodically as needed.
- Primarily performs work in support of workers compensation claims, coordinating with claimants and managers to ensure accurate and efficient processing of cases.
- Maintains up-to-date documentation from carriers, medical providers, supervisors/managers, and others for the benefit of the agency.
- Calendars and notifies staff with a need-to-know of administrative hearings of the Texas Department of Insurance requiring their attendance.
- At the Directors discretion, attends and/or represents the Agency at administrative hearings of the Texas Department of Insurance, Division of Workers Compensation.
- Reports to the Director the progress of employee recovery and open/close status, functioning as a catalyst for injured workers resumption of full or modified duty. Delivers superior customer service and satisfaction through effective interactions with claimants, managers, vendors, and others.
- Takes new claim reports, manages claims, and assists claimants through the claims process; requesting medical records, insurance information, and other relevant information for case preparation.
- Locates and develops case-relevant information, ensuring all tasks and documentation are appropriately stored and updated in legal file system.
- Promptly notifies the Director concerning injury and/or accident reports that contain any possible fraudulent activity.
- Works with the Director in support of injured workers, to help restore employees health and well-being after a work-related injury.
- Responds to calls and queries from internal and external providers, claimants, and insurance companies.
- Sends and receives proper data to and from carriers, vendors, and other sources for prompt resolution of claims.
- Researches and reviews claims to meet guidelines concerning appropriate documentation for claims processing.
- Authorizes routine medical treatment and drug/alcohol screens and periodically runs Motor Vehicle Record reports.
- Works with Director on Safety and Risk Management projects and other duties as assigned.
Performance Indicators:

- MS Office proficiency, including Outlook, Word, Excel, and PowerPoint Excellent administrative and organizational skills; superb communication skills.
- Maintains high customer satisfaction levels and completes projects as required within time specified by carrier and established protocol.
- Must be able to prioritize responsibilities and work well under tight deadlines.
- Paralegal certification a plus.
- Provides quality, well-documented, professional claims submissions and reports that follow industry standards.
- Supports departmental goals in a positive and professional manner.
Education/Certification:? High School Diploma or General Education Diploma
Experience Required:
- Position requires at least three years of experience in workers compensation and/or loss prevention.
Required Knowledge, Skills/Abilities:
- Understands and applies knowledge of support principles, practices, policies, and procedures.
- Excellent verbal and written communication skills.
- Excellent organizational skills.
- Ability to work effectively with a wide variety of people.
- Able to use Microsoft products to maintain data and generate reports.
