**The Youth & Teen Programs has an outstanding opportunity for a YTP Specialized Program Administrator to join their team.**
The Youth & Teen Programs (YTP) Specialized PA's responsibilities encompass the complex operations of the UW Continuum College Youth & Teen Programs. YTP delivers academically-oriented enrichment courses for children and teens (4th - 12th grades) for 8-weeks each summer quarter, as well as afterschool courses in the evenings and/or on Saturdays during the school year. YTP courses are held online and on UW Seattle campus with a small number of high school programs taking place in downtown Seattle.
The YTP PA duties encompass the types of activities:
+ Registration Management
+ Supporting Hiring/onboarding of YTP Staff
+ Oversight of classroom requests and tracking
+ Online Course Support (Canvas / Google Sites)
+ Course Supplies and Technology Needs
+ Customer ServiceThe PA is a subject matter expert on YTP's offerings, and is familiar with the range of Continuum, UW policies and procedures applicable to these programs and their participants. The PA is responsible for devising and carrying out key processes, policies, and complex tasks central to the success of this self-sustaining program, often utilizing specialized tools or unique procedures. Independent judgement, discretion, and decision-making are required on many aspects of program operation. **About you:** You have a passion for working in youth development or a related field. You have excellent oral and interpersonal communication skills, care about providing exceptional customer service and experience in writing, editing and proofing. **DUTIES AND RESPONSIBILITIES** PROGRAM ADMINISTRATION
+ Demonstrate understanding of program structure and components, audience, stakeholders, and objectives.
+ Act as day-to-day decision-maker in resolving situations related to smooth program operations.
+ Oversees operational processes and policies and master the tools and systems used to support the program.
+ Maintain clear and up-to-date documentation of Operations and User manuals, with customized program policies and procedures.
+ Act as the focal for the YTP registration system. Create best practices, liase with Idealogic staff, troubleshoot any issues, and make recommendations for improvement.
+ Oversee course websites using Canvas and google sites to ensure a positive learning experience for students.COMMUNITY ENGAGEMENT AND CUSTOMER SERVICE
+ Represent the Program through timely and thorough responses to all phone and email inquiries or in-person venues.
+ Provide high quality customer service to program participants and their families, campus partners and the general public, leaving a positive impression of the University, Continuum College, and YTP.
+ Contribute and review content for accurate and engaging public-facing website.
+ Represent YTP at outreach events and in cross-departmental UW committees.
+ Establish and maintain strong communication channels as a primary point-of-contact for program stakeholders.FACILITATIVE OPERATIONAL LEADERSHIP
+ Spearhead efforts to update and improve workflows, processes, and procedures.
+ Act as operations lead, working closely with other permanent UWC2 staff and seasonal employees responsible for discrete elements of YTP administration.
+ Working closely with YTP instructors, provide oversight of complex YTP supplies that support youth courses; including purchasing and coordination with instructors (including packing/mailing supplies, coordinating supply moves from various campus locations.)
+ Track budgetary reports, enrollment statistics and other pertinent information for reporting out.
+ Coordinate the work and workflow for temporary seasonal staff to pass it off for the start of summer courses including registration, rosters, field trip information and other administrative components. **MINIMUM REQUIREMENTS**
+ Bachelor's degree
+ 2-3 years of increasingly responsible administrative experience within a school or community-based agency or youth program delivery context. **Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.** **ADDITIONAL REQUIREMENTS**
+ Strong working knowledge of Microsoft Office Suite and intermediate proficiency in Internet technologies and database systems. **CONDITITONS OF EMPLOYMENT**
+ Valid Washington State Driver's License
+ Ability to move materials up to 50lbs with or without reasonable accommodation or assistance
