Accounting Administrative Assistant - Safari Solutions

WorkSmart Systems, a Professional Employer Organization (PEO), is hiring an Accounting Administrative Assistant in Indianapolis, Indiana.

OPPORTUNITY:
As an experienced, reliable and detail-oriented Accounting Assistant, you will assist our accounting department with a variety of financial and administrative tasks. You will be a valuable part of our accounting team as you maintain financial records. Print, file, and mail returns to taxing authorities and complete the registrations and closures. This is a full-time office role (8:00 – 5:00) with the option to work 2 days/month remotely.  Reporting to the CFO, your attention to detail and willingness to learn will prove successful in this role.

KEY ACCOUNTABILITIES:

• Accurately enter financial data into the databases and spreadsheets.
• Perform monthly, quarterly, and annual tax return admin duties by mailing to taxing authorities.
• Prepare new client tax setup (State Unemployment, State Withholding, registration & account closure, etc.)
• Effectively communicate with state tax agencies and internal teams to set up accounts and resolve tax-related discrepancies or issues.
• Respond promptly and efficiently to inquiries and requests from internal and external stakeholders, such as Accounting and Payroll departments, along with clients and employees, regarding state payroll taxes.
• Maintain a high level of data confidentiality while handling sensitive information related to employee payroll taxes.
• Assist with any special projects, reconciliations, or other accounting-related tasks as required.

SUCCESS FACTORS:

• High School diploma or equivalent; associate or bachelor’s degree preferred.
• Previous accounting or bookkeeping experience in a professional setting preferred.
• Excellent oral and written communication skills with a high level of professionalism and patience, and a positive customer-oriented approach.
• Ability to multi-task and problem solve in a fast-paced office environment.
• Proficient in Microsoft Office, especially Excel.
• Ability to handle tasks with accuracy and strong attention to detail within strict deadlines.
• High level of integrity, reliability, and confidentiality.
• Ability to work independently.

COMPENSATION & BENEFITS:
WorkSmart Systems will reward your accounting administrative talents with an hourly wage between $20-$24 per hour depending on experience.
