Industrial Services client is urgently seeking an Accounting Administrator due to growth! They are looking for an experienced professional who can provide essential support for Accounts Payable (AP) and Accounts Receivable (AR).
Billing:
- Assist in reconciling labor and equipment for Time & Materials (T&M) projects.
- Update billing sheets with billable manhours and equipment.
- Manage electronic billing folders and ensure adherence to process flows.
- Merge and combine documents as needed.
- Deliver invoices to clients via both digital and traditional mail.
- Handle Unit Rate and Lump Sum billing.
- Provide outstanding customer service to both external clients and internal staff.
- Collaborate with various departments to resolve billing issues.
- Participate in weekly billing meetings.
- Manage the AP inbox effectively.
- Upload vendor invoices into the accounting system.
- Verify accuracy of vendor information on invoices (including name, invoice number, PO number, etc.).
- Update the AP Excel list with new invoices.
- Gather AP invoices for T&M projects as needed for billing.
- 2+ years of experience in an accounting department role.
- Understanding of AP and AR functions is beneficial.
- Intermediate MS Excel skills required.
- Familiarity with customer portals (Abira, OpenInvoice, Coupa) is a plus.
- Knowledge of Spectrum Viewpoint and Construction One is desirable.
- Strong reconciliation abilities and an exceptional attention to detail.
- Self-motivated with the ability to work independently.
- Excellent interpersonal and communication skills.
- Basic knowledge of office software and equipment.
- Ability to thrive in a fast-paced, high-stress environment.
- Experience in the industrial sector is advantageous.
- Role sits onsite M-F 730am-430pm while training. Once up and running client is open to a conversation around a hybrid schedule (3 in office, 2 remote)
- Offering $18-22/hr depending on overall experience
