Addison Group is excited to collaborate with a prominent manufacturing client in their search for an Accounting Assistant with full-cycle AP & AR experience to join their dynamic team. The ideal candidate will demonstrate a solid grasp of the general ledger and possess extensive experience in full-cycle AP and AR environments. Key responsibilities for this role encompass 3-way matching in a PO environment, coding and posting to the GL, calculating deductions, cash applications, processing transactions, identifying, researching, and resolving any discrepancies, among other duties. This position offers an onsite opportunity with compensation up to $31.25/hr, contingent upon relevant experience.
Responsibilities:
- Utilize a comprehensive understanding of the general ledger and business operations to efficiently and accurately review, route for approval, code, and process vendor invoices.
- Identify, investigate, and resolve discrepancies in matching purchase orders to invoices promptly and effectively.
- Address vendor inquiries and conduct thorough research and resolution of issues or discrepancies.
- Regularly review and take necessary follow-up actions for items on the RNI report.
- Execute weekly check runs and wire payment requests, maximizing vendor payment discounts.
- Conduct reconciliation of vendor account statements to maintain current and favorable balances.
- Provide assistance to fellow Accounts Payable team members as required.
- Facilitate the setup of new vendors, ensuring all requisite documentation (W-9, Certificate of Insurance, Vendor Form, etc.) is obtained.
- Maintain up-to-date records of vendor W-9s and Certificates of Insurance.
- Participate in the annual processing of 1099s.
- Assist with month-end accounting close activities and engage in special projects as needed.
- Manage full-cycle Accounts Receivable duties, including generating invoices, applying payments, reconciling customer accounts, and following up on overdue accounts.
- Ensure timely and accurate billing to customers and maintain records of accounts receivable.
- Coordinate with the sales team to resolve any billing issues.
- Conduct credit checks and set up new customer accounts, ensuring compliance with company policies.
- Prepare AR aging reports and provide regular updates to management on the status of receivables.
Qualifications:
- High school diploma or equivalent; 2-year accounting associate degree or higher preferred
- 2+ years general accounting experience with 1+ year high-volume accounts payable & accounts receivable experience
- Prior experience in a multi-entity business preferred
