Job Title: Accounting Assistant

Reports To: Controller
FLSA Status: Non-Exempt
Summary: Handles accounting functions in both accounts receivable and accounts payable, including but not limited to data entry, filing, and various office/clerical responsibilities by performing the following duties. Serves as backup to the Controller.
Duties and Responsibilities include the following. Other duties may be assigned.
- Perform daily paper check deposits for all locations and any misc. deposits as required.
- Appropriately apply all electronic funds transfer (ACH/EFT) payments daily for all customers/distributors for all locations.
- Calculate and provide the Controller a weekly report for internal bank transfers. Communicate daily with Accounts Receivable Specialist.
- Balance credit card statement, issue check to appropriate location, and post Visa/MasterCard/AMEX payments monthly for all locations.
- Backup for accounts receivable invoicing for all locations following appropriate procedures for each location, including, but not limited to printing Shipped Goods not Invoiced report and invoice as required. Distribute invoice copy to customers/distributors by method requested.
- Backup to monitor and confirm/deny positive pay daily prior to deadline.
- Complete supplier packets and provide credit references for new accounts as needed.
- Review and approve/deny customer/distributor credit; establish credit limits/terms for customers for all locations’ customers, make notations and code accounts in M2M.*
- Audit and maintain WIP/Job Order status report bi-weekly for all locations.
- Audit and maintain G/L 2-2399 for intercompany payments weekly for all locations.
- Assist Accounting Team with EFT/ACH payable set-up and maintain as needed.
- Assist Controller with month end closing process in M2M for all locations. Run month end preliminary reports, research issues and correct when needed.
- Assist Controller with bank reconciliations as needed
- Assist Accounting team with any other AR, AP, and any miscellaneous accounting functions as required.

Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Ability to apply concepts of basic algebra and geometry.

Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
Computer Skills:
To perform this job successfully, an individual should have knowledge of Microsoft Word, Microsoft Excel, Made2Manage accounting software, Internet Explorer, and Microsoft Outlook.
Education/Experience:
High school diploma or general education degree (GED); or five years related experience and/or training; or equivalent combination of education and experience.

While performing the duties of this job, the employee is required to wear safety glasses and hard sole/close toed shoes with a low heel when walking through the manufacturing shop and/or repair shop whether as part of performing their job or just passing through. In addition, long hair must be tied back when around hazards of flame, machinery, or equipment.
