Position Overview:
We're seeking a detail-oriented and highly organized Accounting Associate to join our finance team. The Accounting Associate will be responsible for managing day-to-day financial operations, including accounts payable/receivable, financial reporting, and payroll processing. This role is crucial to ensuring accurate financial management and supporting the company’s growth as we expand our innovative PPE recycling program.
Key Responsibilities:
·Issue invoices to clients on a regular basis, ensuring all billing is accurate and timely to facilitate prompt payments and maintain strong cash flow.
·Process vendor invoices and payments, ensuring timely and accurate disbursements. Monitor customer invoices and follow up on overdue payments to maintain healthy cash flow.
·Assist in preparing monthly, quarterly, and annual financial statements, including income statements, balance sheets, and cash flow reports. Ensure compliance with accounting standards and internal policies.
·Perform bank, credit card, and general ledger account reconciliations. Investigate and resolve any discrepancies in a timely manner.
·Manage employee payroll, ensuring accurate timekeeping, tax withholdings, and benefit deductions. Address any payroll-related queries or discrepancies from employees.
·Track and record company expenses, ensuring proper allocation to appropriate departments and projects. Assist in expense reporting and reimbursement processes.
·Assist in budgeting and financial forecasting. Provide data and reports to support management in financial planning and decision-making.
·Ensure compliance with all financial regulations and company policies. Prepare documentation for internal and external audits as needed.
·Work with vendors and customers regarding payments, invoicing, and any other financial matters.
·Maintain organized and accurate financial records, both physical and digital. Ensure timely filing and documentation for all accounting transactions.
·Assist in the management and optimization of accounting software and tools. Ensure data integrity and support team members in using financial systems effectively.
Qualifications:
·Bachelor’s degree in Accounting, Finance, or a related field is preferred.
·1-3 years of experience in accounting or finance, preferably in a similar role. Familiarity with payroll processing and accounts payable/receivable is a plus.
·Proficiency in accounting software (e.g., QuickBooks, Xero) and Microsoft Excel is required. Experience with financial reporting tools is a plus.
·Ability to maintain accuracy in financial records, identify discrepancies, and ensure timely corrections.
·Strong ability to prioritize and manage multiple tasks with tight deadlines while maintaining accuracy.
·Excellent verbal and written communication skills for interacting with internal teams, vendors, and customers.
·Ability to identify and resolve financial issues, recommend process improvements, and manage financial risks effectively.
·High level of professionalism, integrity, and discretion in handling sensitive financial data and maintaining confidentiality.
