Summary:
The Accounting Clerk is an entry-level position. Responsible for helping manage accounts and providing support for the accounting, finance, and sales departments, other responsibilities include collections, billing, filing, and supporting the payroll department as well as maintaining vendor accounts, and processing procurement requests for goods and services.
Duties and Responsibilities:
- Manage AR aging reports, ensuring timely collections.
- Communicate with customers via phone calls and emails regarding overdue accounts and discrepancies.
- Lead weekly AR meetings and resolve account issues with managers.
- Keep accurate records of AR communications and follow up on outstanding invoices.
- Handle customer reconciliations, write-offs, and apply unapplied deposits.
- Process vendor invoices, ensuring accuracy and compliance.
- Assist AP in reconciling subcontractor invoices and POs, resolving discrepancies.
- Update and maintain vendor accounts, processing corrections as needed.
- Help maintain office databases and ensure accurate financial records.
- Assist senior accounting staff and cross-department collaboration.
- Identify and resolve discrepancies in accounting processes.
- Work with software support to troubleshoot accounting software issues.
- Implement process improvements to enhance efficiency.
- Assist in monthly WIP adjustments and provide weekly financial health reports to management.
- Respond to customer and vendor inquiries on time.
- Other duties as assigned.
Non-Essential Duties
- Cross-train within the department to provide backup coverage as needed
- Use self-initiative to remain current with industry trends (engage in webinars, virtual conferences, educational reading, etc.)

Education and Experience
- High School Diploma or general education degree (GED) or equivalent experience
- 3 + years of accounting experience
- Experienced in Microsoft office, Word, Excel required
- Coins*ERP experience preferred but not required.
- Timberline Sage 300 experience preferable
