Job Description:
The Chimney Scientist is seeking a dedicated and detail-oriented Accounting Office Admin Assistant to join our dynamic team. This role requires a versatile individual who can learn and utilize multiple software platforms and follow instructions to ensure new processes are implemented and maintained effectively. The successful candidate will work closely with the Accounting/HR Manager, Operations Manager, Warehouse Manager, and Communications Manager. Responsibilities will include assisting with customer service, accounting, inventory management, employee training, and providing on-site HR support.
- Customer Service: Assist with handling customer inquiries, scheduling appointments, and providing exceptional service.
- Accounting Support: Aid the Accounting/HR Manager with tasks such as invoicing, expense tracking, and financial reporting.
- Inventory Management: Work with the Warehouse Manager to track inventory levels, process orders, and manage stock replenishments.
- Employee Training: Support the Operations Manager in coordinating and implementing employee training programs.
- HR Assistance: Provide on-site support for HR-related activities, including onboarding new employees and maintaining personnel records.
- Process Implementation: Follow instructions to implement and maintain new processes across various departments.
- Software Utilization: Learn and use multiple software platforms to manage tasks efficiently and accurately.
- Documentation and Reporting: Maintain accurate records and prepare reports as needed to support various departments.
- Collaborative Support: Work collaboratively with team members to ensure smooth operations and effective communication across departments.
- High school diploma or equivalent; associate degree or higher preferred.
- Previous experience in an office or administrative role.
- Proficiency in using computer software, including MS Office Suite (Word, Excel, Outlook).
- Proficiency in QuickBooks
- Strong organizational and multitasking skills.
- Excellent communication and interpersonal abilities.
- Attention to detail and accuracy in performing tasks.
- Ability to follow instructions and implement new processes effectively.
- Familiarity with inventory management and accounting principles is a plus.
- Reliable and punctual with a strong work ethic.
- Ability to work collaboratively in a team environment.
