The AP/AR Supervisor coordinates the daily Accounts Payable and Accounts Receivable processing and research with the objective of providing accurate and timely vendor and customer payments in a controlled environment with highly productive team, as well as supports monthly close of the Accounts Payable and Accounts Receivable systems. The supervisor is responsible for resolving invoice issues and providing adequate communication to the various internal ad external stakeholders, as well as assisting with financial statement annual audit and other ad hoc projects.
- Audit accounts payable invoices for proper account coding, supporting documentation, and payment authorization, as appropriate. Monitor and review accounts payable aging report and purchase order log for accuracy and completeness. Review invoices on hold and ensure timely resolution and clearing for payment.
- Ensure maintenance of vendor files and oversee issuance of sales tax resale certificates. Support the selection of invoices for payment, check printing, and support release of payments (i.e., weekly check run).
- Support with vendor statements review, accounting month end close activities and accruals.
- Support the accounts payable team with invoice processing and vendor discounts, prepare weekly KPIs and provide meaningful analysis to management.
- Ensure an adequate control environment exists by developing, documenting, and enforcing adequate procedures and controls for all Accounts Payable functions.
- Ensure operations concerns are resolved timely by responding directly to escalated vendors or operations leaders’ questions and concerns as it relates to invoice expenses, accruals, and payment discrepancies, ensuring quick and thorough response and/or swift resolution.
- Escalate vendors and payments issues to Controller and offer recommendations for solutions, when appropriate.
- Review Accounts Payable systems and processes continuously and pursue enhancements that will ensure more efficient & accurate processing.
- Review client billings and payment applications for accuracy and timeliness, including the Billing Folder.
- Review accounts receivable aging reports and support the AR team’s collection activities.
- Actively participate in training and evaluation of AP and AR team members through annual performance reviews and one on one sessions. Assist leadership with miscellaneous projects and ad hoc analysis as requested.
