About the Job
Primary Responsibilities:
- Invoice Processing: Review, code, and process vendor invoices accurately and in a timely manner, ensuring they align with purchase orders and contracts.
- Invoice Verification: Verify the accuracy of invoices by confirming that the goods or services received match purchase orders or contracts, and ensure that proper authorization is obtained.
- Financial Reporting Support: Assist with month-end and year-end closing activities by providing necessary data for financial reporting and audits.
- Compliance: Ensure all accounts payable processes comply with company policies, accounting standards, and legal requirements.
- Problem Solving: Resolve any discrepancies in invoices, address payment issues, and respond to vendor inquiries professionally and in a timely manner.
- Documentation and Record Keeping: Maintain accurate and organized files for all invoices and backup documentation in accordance with company policies.
- Vendor Relations: Communicate effectively with vendors and internal teams to ensure smooth payment processing and timely issue resolution.
- Administrative Support: Provide additional administrative support to the accounting department as needed, including preparing 1099 forms at year-end and assisting with special projects.
- Other Duties: Perform other related duties as assigned by management.
Qualifications:
- Experience: A minimum of 3-5 years of accounts payable experience in a high-volume environment.
- Education: High School Diploma required; an Associate Degree in Accounting or a related field is a plus.
- Technical Skills: Proficiency in Microsoft Word and Excel, with experience in accounting software (experience with Dynamics 365 is a plus).
- Organizational Skills: Strong time management and organizational skills with the ability to prioritize multiple tasks and meet tight deadlines.
- Communication: Excellent written and verbal communication skills, with the ability to interact professionally with internal departments and external vendors.
- Problem Solving: Strong analytical and problem-solving skills, with the flexibility to adapt to changing priorities.
