Accounts Payable Specialist
As an Accounts Payable Specialist at Capital Pump & Equipment, you will play a crucial role in managing the outflow of capital and ensuring financial accuracy across our operations. This position is vital to supporting our mission to be the customer's first choice for pump equipment solutions. You will be responsible for processing vendor payments, reconciling financial reports, and maintaining accurate accounting records. This role requires strong organizational skills, attention to detail, and a commitment to supporting our team's financial functions efficiently.
Key Responsibilities:
- Review and process AP invoices, ensuring accurate entries in the accounting system.
- Manage vendor relationships by reviewing statements, setting up new vendors, and handling branch-specific vendor maintenance.
- Perform routine AP duties, such as filing, check runs, mailing payments, processing credit memos, and managing credit card payments.
- Enter and manage purchase order (PO) invoices to ensure timely payment and compliance.
- Verify and manage exemption certificates and business license renewals as required.
- Reconcile bank transactions related to AP ACH and maintain accurate records.
- Handle the annual 1099 NEC/MISC filing and ensure compliance with relevant tax regulations.
- Participate in regular safety meetings (e.g., Toolbox Talks) to promote a safe working environment.
- Manage office duties, including Adobe licensing and other administrative tasks as needed.
- Provide additional support to the accounting team as required.
Qualifications and Requirements:
- Minimum of 2 years of experience in an accounts payable or accounting clerk role.
- Familiarity with SAGE accounting software is a plus.
- Strong mathematical, analytical, and organizational skills.
- Proficiency in Microsoft Office Suite (Excel, Word) and other accounting software.
- Familiarity with Point of Rental software (POR) preferred
- Excellent attention to detail, accuracy in data entry, and record-keeping skills.
- Strong communication and interpersonal skills, with the ability to work both independently and collaboratively.
