Summary:
Process and review company’s invoices and payable reports for disbursement via check or electronic funds
transfer. Prepare payables for disbursement by approving for import to accounting system. Perform daily
procedures related to cash disbursements to support review, internal control, and reconciliation of cash.
Essential Duties and Responsibilities:
Review daily check batches, and approve individual disbursements (based on established scopes) on
Prepare daily journal entries for cash disbursements not automatically fed to accounting system.
Prepare daily reconciliation of cash disbursements from bank to cash entries processed in accounting system.
Research discrepancies, and provide to accounting supervisor for review and approval.
Act as liaison with Cash Management department for the reconciliation of cash accounts.
Review outstanding checks list on a monthly basis. Identify any outstanding checks > 30 days old (for transferees) or 60 days old (corporate vendors) and follow up as necessary.
Process invoices and accounts payable reports for payment.
Verify proper approval (including approval on
the clients Workbench, if applicable) and coding.
Assist in the preparation of invoices and accounts payable reports for daily computerized check runs.
Prepare checks and remittances and mail as required. Input UPS tracking information, if applicable.
Prepare and/or review reports required by cash management department.
Process requests for stop payments and cancelled checks.
Respond to inquiries regarding payment information.
Prepare monthly report of 1099 information for all new vendors. Review system data monthly to assure
that all vendors have appropriate 1099 information available. Follow up on missing data on a periodic basis.
Process ACHs and wire requests. Verify proper approval (including approval on the client Workbench, if applicable), coding, and banking information.
Input data to online banking system.
Process journal entries for payment of inter-company invoices.
Assist accounting supervisor with special projects.
Serve as back-up for answering company telephone.
Job Skills Required:
Strong organizational skills to manage daily responsibilities
Experience using Microsoft Excel

Education/Experience:
Two to three years experience in an Accounts Payable role
Experience using Great Plains preferred, but not required
Associates degree in accounting, or commensurate experience
