- Employees hired in this role will be expected to work in the office 3 days/week, 2 days remote. Specific schedules are determined on department needs.
The Accounts Payable Documentation Audit Specialist will collect, research and report on all required backup documentation for government and independent audits related to credit card, advance and incentive purchases. They will also review trends related to major accounts payable expense categories.
Reports to: Assistant Director Accounts Payable
Location: 305 Seventh Ave., New York, NY 10001
Hours: 35 hours, Non-Exempt
Salary: $46,125 - $51,250
Major Duties:
- Review, verify, process, and code all agency credit card statement purchases.
- Review, verify, process, and code all check request advance purchases.
- Review, verify, process, and code all backup documentation related to program incentives, such as gift cards, trips, metro cards and other.
- Work closely with purchasing manager and program staff to assure all documentation is received complete and timely.
- Conduct research to address any outstanding documentation.
- Ensure compliance with agency documentation policies and communicates findings to recommendations to finance and program leadership.
- Manage program staff inquiries and handle phone inquiries directed to the Accounts Payable department.
- Aid in account analysis and the resolution of discrepancies.
- Review spending on major account categories to assure accuracy and legitimacy.
- Ensure the accurate and organized maintenance of payable records.
- Assist Accounts Receivable in locating documentation as needed for billing purposes.
- Support month-end closing processes and contribute to audits by providing necessary documentation and evidence.
- Assist the Assistant Director for Accounts Payable as and when required.
Qualifications:
- High school diploma with two years experience in Accounts Payable.
- Must be proficient in Microsoft Office, accounting software, and databases.
- Must have excellent analytic, written and communication skills.
- Excellent organizational skills and attention to detail.
- Ability to prioritize and multitask in a fast-paced work environment.
- High degree of accuracy and efficiency.
- Familiarity with Generally Accepted Accounting Principles (GAAP).
