About the Job
Pay rate ranges from $22.44 to $24.31 based on experience. Job Summary:-Reports to Chief Executive Officer/Designee and assists in all administrative functions and coordinates activities and information of the department. In some cases, may oversee work of other clerical employees.
Duties and Responsibilities:-Plan, schedule and organize daily activities for Department Head and less experienced clerical staff if applicable. -Screen, evaluate and set priorities for visitors and other contacts and provide appropriate direction.-Research information, discuss policies with department managers and maintain all departmental manuals including policies, procedures, and job descriptions.-Prepare department statistics for various areas such as employee and patient incidents and assist in preparing reports.-Coordinate and schedule all meetings and appointments.-Prepare and maintain purchase requisitions, personnel action forms, and work orders for office repairs. Ensure supplies levels are maintained. -Function as a liaison between the supervisor and other hospital staff.-Maintain confidential records for the department and staff.-Handle correspondence, including typing letters and reports.-Answer phones and routing calls to the appropriate recipient.-Prepare meeting minutes agendas and takes meeting minutes.-Coordinates logistics for meetings including room set-up and catering.-Carry out administrative duties such as filing, typing, copying, binding and scanning.-Perform other duties as assigned.
Schedule Notes:8-4 / Mon - Fri - no weekends needed
This admin asst will work with the Executives; CNE CNO and other HMs of the facility
Must be able to prioritize and handle multiple requests coming at the same time.
Loads of Executive scheduling and planning
Organizational skills is a must
Critical Thinking
Covering for other Admins when needed
Proficient in Word, Excel, PowerPoint, Email management
Familiar with Joint Commission - preferred not mandatory
ASAP Start - they can do orientation at a later date.
Reason for vacancy - someone is going on maternity leave, but they will be needed past the return from the leave. The facility is looking to have some overlap to alleviate the workload.
Skills: Required Skills & Experience:-Ability to communicate in English, both verbally and in writing.-Microsoft Office Suite literacy.-Good interpersonal skills.-Able to multi-task and is organized.-Proficiency in Word, Excel, PowerPoint.-Ability to type 50 words/minute.
