Position: Administrative Assistant - Special Initiatives
Location: On-Site in San Antonio, TX 78207
Hours: Monday - Friday, 8:00 AM - 5:00 PM (no overtime)
Duration: 3-6 months
We are seeking candidates for a temporary role in a non-profit organization. Individuals with experience in non-profit or state or federally funded programs tend to excel in this position!
Job Overview:
The ideal candidate should be highly skilled in PowerPoint, Excel, Spreadsheets, and Word, with the ability to thrive in a fast-paced environment. Flexibility in managing multiple tasks and projects is essential.
This position involves three key responsibilities:
- Assisting the Director with high-priority grants, special initiatives, and managing assigned projects.
- Researching, compiling, and preparing data for reports and analysis.
- Performing additional duties as assigned.
Administrative/Contract Management:
- Assists in the design, planning, development, and execution of contracts, grants, projects, events, and special initiatives as needed.
- Oversees assigned projects and grants, ensuring alignment with their scope, deliverables, timelines, budgets, services, reports, and performance metrics.
- Reviews and helps approve plans from vendors, sub-grantees, service providers, and contractors related to grants and projects.
- Coordinates staffing, activities, and expenditures with vendors, sub-grantees, and service providers, ensuring compliance with contracts under the direction of the Initiatives Manager.
- Develops policies and procedures, provides technical support and guidance, and ensures adherence to relevant rules, regulations, and policies.
- Prepares, implements, and monitors technical assistance, corrective action, or performance improvement plans as necessary.
- Ensures efficient fund allocation, meets benchmarks, and confirms that costs are reasonable and justified.
- Regularly generates and analyzes data regarding project progress, objectives, deliverables, and outcomes.
- Prepares and presents project reports to the Initiatives Manager, COO, CEO, Board, and others as requested.
Support for Internal Data Platforms & Reporting:
- Provides in-house support for various data platforms, data gathering, analysis, and reporting, including Cognito Forms, Cabinet, Info Maker, TWIST, WIT, Salesforce, and others as needed by the Director or COO.
- Utilizes off-the-shelf data tools such as MS Excel, Tableau, SQL, SharePoint, and relational databases to manage grants, special initiatives, and projects.
Additional Duties:
- Responsible for administrative oversight of initiatives, including providing input on design, implementation, evaluation, and outcome reporting.
- Supports the promotion of other initiatives as assigned.
Other Functions:
- Provides assistance to other program departments and performs related tasks as required by the COO and Director.
Qualifications:
Knowledge, Skills, and Abilities:
- Familiarity with local, state, and federal laws, regulations, and policies related to development.
- Ability to learn, embrace, and contribute to our client's mission.
- Excellent capability to handle confidential and sensitive information appropriately.
- Strong organizational and time-management skills.
- Ability to manage multiple projects, balance priorities, and maintain a positive attitude in a team environment.
- Intermediate to advanced proficiency with MS Excel, PowerPoint, Word, and relational databases.
- Strong written and verbal communication skills.
- Fluency in English required; bilingual English/Spanish is helpful.
Education and Experience:
- A bachelor's degree from an accredited four-year college or university is preferred.
- At least three to four years of relevant experience, including some time as a management team member in either a for-profit or nonprofit setting.
- Familiarity with managing federal, state, or local grants is preferred.
